POSITION SUMMARY
The Human Resources Coordinator is responsible for facilitating all key HR functions and programs, in collaboration and conjunction with the rest of the Human Resources and Occupational Health and Safety divisions. The Human Resources Coordinator ensures that HR processes are running smoothly. In addition, the HR Coordinator assists with guiding employees through various human resource processes, answering any questions they may have about policies.
The Human Resources Coordinator will focus on optimizing Bamboo and HR Downloads, work with management to develop training and education plans for their employees and teams, assist with goal setting and tracking, and coach new supervisors and managers into leaders. They will also assist management with developing and implementing knowledge transfers. With current resources, these activities aren’t overseen actively in Human Resources, but falls on the Direct Supervisors.

WHAT YOU'LL DO
Primary duties:
- Maintaining Human Resource records by keeping accurate, up to date employee files including contracts, performance reviews, and forms.
- Overseeing BambooHR and HR Downloads.
- Provide frontline and support to employees for Human Resources and Occupational Health and Safety.
- Coordinating and delegating inquiries to the appropriate person of the team.
- Schedule meetings, interviews, HR events etc. and maintain the team’s agenda.
- Assisting with the exiting and termination process.
- Assist in ad-hoc HR projects, like surveys, tasks, collection of employee feedback, etc.
- Ensuring strict confidentiality when handling sensitive employee issues.
- Consulting with the employer and identifying employment needs.
Development and Training
- Coordinating the Performance Assessment period, goal setting, messaging, process documentation and prepare reports relating to performance reviews.
- In collaboration with Directors and management, develop training manuals for each program to ensure new hires are trained and integrated into their roles.
- Arranging seminars, workshops, and conferences based on each department’s needs.
- Coordinating the Career Path program, Career Development Plan program and Education Leave / Financial Assistance program and ensure Directors are aware of policies and procedures.
- Overseeing HR Downloads training phases, process documentation and prepare reports.
Knowledge Transferring / Succession Planning
- Coordinating the Knowledge Transfer and Succession Planning program.
General Duties
- Serving as the point of contact on Human Resources related issues and questions.
- Working in collaboration with the Occupational Health and Safety, Payroll, IT, and other stakeholders as needed.
- Recommending possible actions to improve existing processes, updates to HR policies and standard operating procedures.
- Providing support to employees in various Human Resources-related topics such as leaves and compensation and resolve any issues that may arise.
- Supporting the recruitment and hiring process by reviewing candidates, participating in interviews, performing reference checks, assisting in shortlisting, etc.
Administration and Reporting
- Generating reports on general Human Resource activities, including monthly, quarterly, and yearly reports.
- Complete reconciliations, billing, and expense reporting for Human Resources and HR Manager, including but not limited to credit card, invoices, purchase orders, Indeed billing, etc.
Other
- Support Occupational Health and Safety as well as Joint Health and Safety Committee as necessary.
- Ensuring the security of all information entrusted to the Human Resources including information and documents contained in paper and electronic files.
- Providing support and improve the employment experience.
- Assisting with administrative functions for the Human Resources and Occupational Health and Safety.
- Providing direct support and assistance to the Human Resources team.
- Other duties or responsibilities as assigned by your supervisor, Manager, Director, or the CAO.
WHAT YOU BRING
Education
- Completion of High-School, GED or Dogwood.
Experience:
- Proven experience and understanding of all Human Resources functions, operations, and best practices.
- Administrative experience in an office environment 1 + years and at least .
- Experience working with and securing highly confidential information.
- Hands on experience in using MS Office, databases and HRIS systems (BambooHR and HR Downloads).
- Experience working in an Indigenous community and trauma-informed practices an asset.
Skills:
- Outstanding communication, presentation, and interpersonal skills.
- Organizational and time management skills.
- Ability to learn new software, processes, procedures.
- Ability to work in a fast-paced environment with competing priorities.

Requirements:
- Strict adherence to an Oath of Confidentiality, Seabird Island Band Policies and Procedures.
- Willingness to learn or prior knowledge, respect, and understanding of Stó:lō culture, history, traditions, and language;
- Valid BC Driver’s License, Class 5 and clean Driver’s Abstract.
- Satisfactory Criminal Record Check *Solicitor General CRRP*
