General Description of the Role
The HR Process Operations Specialist the effective and efficient execution of core HR day-to-day transactions ensuring a “customer” experience consistent with Campari’s values and HR strategy. This position is responsible for managing the execution and continuous improvement of a variety of HR related people processes, initiatives and systems. The HR Process Operations Specialist will be responsible for executing best in class HRIS administration for Campari Canada and will use a data-driven approach to support Campari’s HR Transformation and ways of working.
DATA SYSTEMS & REPORTING:
- Serve as primary systems administrator and SME for Campari Canada and owner of multiple SAP SuccessFactors modules including Employee Central, Recruiting, Succession Planning, Compensation, and Learning Distillery.
- Manage the data integrity of the HR Master Data in SAP, ADP, and other databases including Benefits and Group Retirement.
- Create and distribute standardized reports as required, making suggestions for report enhancements and automated delivery where appropriate.
- Responsible for setting up and managing systems, processes, and tools to accurately track and report on labor related metrics (headcount, costs, etc.).
- Develop and process ad-hoc reports of employee data as required.
- Works closely with Finance to ensure alignment of the labor cost and headcount actuals to the financial reporting statements.
- Partner with Regional HRIS to develop HR metrics and various dashboard tools to provide information and decision-making tools for senior management.
- Serve as a liaison to other departments (e.g. Finance) for questions regarding any HR systems and provide relevant solutions to accommodate department specific needs.
- Acts as Human Resources SME for ADP Workforce Now and all payroll related matters.
- Maintains the organizational structures in HR systems, executes changes when directed.
- Act as a key consultant for processes involving EE Data & Systems with a continuous improvement philosophy.
- Support the implementation and rollout of system module add-ons and reporting for system add-ons
KEY HR PROCESSES:
RECORDS MANAGEMENT
- Provide document tracking and records management for employee records and compliance areas.
- Regularly audit employee records to ensure files are accurate and up to date.
- File all documents (electronically and hard copies where required).
- Contribute to the evaluation and continuous improvement of a variety of HR processes, always driving to improve efficiencies, speed, and quality while still maintaining the culture & image priorities of the organization.
- Benefit and Group Retirement administration.
- Liaise with Benefit and Group Retirement providers on all HR matters including employee enrollment, terminations, and leaves of absence.
- Provide weekly updates to payroll team to capture all data changes.
- Monitor and support agency worker relationships and contracts.
RECRUITING
- Assist with Recruiting module activities and actions in SAP SuccessFactors including position and requisition creation and maintenance.
- Assist with interview scheduling, hourly pre-screening interviews
- Assist with background checks, and partner with the HRBPs and Regional Talent Acquisition Team to assist with general candidate management activities.
ONBOARDING
- Manage the Campari Canada onboarding program – responsible for facilitating and organizing the entire onboarding experience, including key stakeholder coordination, communications, and orientation activities.
- Continue to monitor the quality and content of the onboarding program, driving suggestions for improvement and evolution to reflect org changes as appropriate.
- Provide a first point of contact for all new hires – ensuring an organized, timely and welcoming experience – consistent with the culture priorities of the Company.
- Educate and assist managers on the procedures and activities associated with new hire orientation, ensuring managers are actively involved in addressing important aspects of the onboarding experience for new Camparistas in their first months.
- Ensure that all new hire documents are completed, timely and accurately – managing the storage and retention to ensure ease of access and ability to audit as needed.
- Manage the onboarding of all new Camparistas within ADP Workforce Now and SuccessFactors HRIS Systems.
- Coordinate with key stakeholders such as, but not limited to, IT and Payroll to ensure new hires are enrolled in and/or have access to appropriate, systems and tools on day one and are quickly integrated in all Campari systems.
- Coordinate with the Toronto and Grimsby Facilities team to ensure new hires are set up for a positive first day experience in our office spaces including workstation setup.
- Manage the coordination of authorized relocations ensuring timely moves, compliant with established policies and procedures in partnership with the Regional HR team.
- Support the monitoring of VISA and immigration activities for compliance as needed.
TERMINATION AND OFFBOARDING:
- Coordinate with Payroll and HRBPs to ensure termination paperwork is prepared timely and accurately.
- Follow-up with departing employees as needed to answer questions, etc.
- Coordinate with key stakeholders such as, but not limited to, IT and Payroll to ensure access to systems, tools and/or facilities access is terminated in a timely manner and company property is returned.
COMMUNICATIONS AND EMPLOYEE EXPERIENCE
- Oversee our established internal communications channels (e.g. intranet, employee newsletters, email announcements) while reviewing and developing our channel mix, considering the needs of all employee audiences across Campari Canada.
- Develop and deliver a range of communications related to important people announcements, celebrations, and updates, to engage and inform our Employees and help to drive our company culture.
- Create and maintain a user-facing SharePoint site for sharing HR information.
- Support all Great Place to Work initiatives.
COMPLIANCE
- Stay up to date on all relevant employment legislation.
- Maintain and develop Campari Canada HR documents such as Policies and Procedures, Organizational Charts, and Job Descriptions.
- Update the Campari Canada HR Guidelines documents to reflect accurate ways of working.
- Liaise with H&S and Payroll on all WSIB Claims.
QUALIFICATIONS AND EXPERIENCE
- 5+ years of HR experience with a focus on HRIS administration and compliance ideally in a fast-paced consumer products environment.
- Bachelor’s Degree in Human Resources, Business or equivalent.
- Strong technical capabilities with HRIS systems required. Experience with SAP SuccessFactors and ADP strongly preferred.
- Excellent skills in the standard Microsoft office suite tools, with advanced experience using Excel, SharePoint and Teams required.
- Demonstrated experience in data management and data analytics using tools such as PowerBI preferred.
- Experience administering high-transaction related activity with an acute attention to detail and accuracy.
- Strong analytical, and creative problem-solving skills.
- Experience providing world-class customer service to employees or other clients.
- Extraordinary communication skills (written and verbal).
- Ability to handle and manage confidential information with discretion, demonstrating diplomacy and excellent judgment in dealing with sensitive situations.
