Job Description
Under the supervision of the Program Manager of Genetics, the incumbent is responsible for assisting with the coordination of the genetics program including but not limited to: preparation and follow up of families for genetic assessment; review and tracking of patient results, completing appropriate literature and scientific reviews and any other items deemed a priority by the Program.
DUTIES AND RESPONSIBILITIES:
- Assist with program and academic work which includes but not limited to data entry, booking appointments, organizing records/meetings, applying for grants, compiling documents and filing. Assist obtaining relevant patient/family member records. Coordinate and track receipt of written patient consent(s) for records and the requested patient medical records. Organize and prepare patient charts for a variety of genetic consults; obtain a complete family history from the patient, prepare and review pedigree information, obtain and review appropriate medical records and other relevant information.Respond to telephone enquiries from patients, families, healthcare providers, determine the nature of the query and re-direct accordingly.
- Complete data entry for statistics tracking and other tracking as required. Assist with research studies, chart audits and other educational or quality opportunities.
- Pick-up and delivery of mail and supplies required. Receive, process clinic notes and reports; returning completed charts to the KRCC. (Medical Records).
- Input visit and testing data into SHIRE database. Track the receipt of patient test results and distribute patient test results with preliminary interpretation. Follow-up with outstanding patient test results, procedures, and tasks, assist with paperwork and organization of blood draw.
- Represent the Program on various committees or meetings if required. Liaise with other related fields and professionals as required.

BASIC QUALIFICATIONS:- 2-year Medical Secretarial College diploma or equivalent combination of education and experience.
- 2 years related secretarial experience in a genetics setting having conducted literature reviews and/or university setting within the last five years.
- Ability to work under pressure to meet deadlines
- Ability to problem-solve and prioritize
- Demonstrated ability to work independently
- Ability to access and complete forms available on the internet.
- Excellent interpersonal skills
- Working knowledge of genetics principles and theories.
- Excellent interpersonal and customer service skills.
- Strong organizational and time management skills.
- Ability to work closely with a team.
- Exceptional written, verbal and electronic communication skills.
- Intermediate level skills in MS Outlook, MS Word, MS Excel
- Proven ability to attend work regularly.
- Satisfactory criminal reference check and vulnerable sector search required.
