Our state-of-the-art Immunodermatology Medical Clinic in Hamilton, ON is seeking a secretary to join our team. In this role, you will be responsible for providing excellent administrative support to our healthcare professionals and ensuring the smooth operation of our clinic.
We are looking for a medical secretary/administrative assistant for our Hamilton office. The ideal candidate will have a professional demeanor and excellent organizational, communicative, and computer skills.
Primary duties will include calling and booking patients, following up with other physicians, managing incoming and outgoing faxes/calls, and providing general administrative support to the clinic.
Position details:
- Full-time
- Permanent
- 8:00am - 4:30pm (30 unpaid lunch)
- Monday - Friday
- May occasionally require overtime (after hours)
Duties and Expectations:
- Greet and check-in patients, ensuring they are seen in a timely manner.
- Manage incoming and outgoing phone calls, emails and correspondence.
- Schedule appointments and manage patient records.
- Ensure medical supplies and equipment are stocked and maintained.
- Assist with clinical research projects and other special projects as needed.
- Communicating with patients; booking and following up, appropriately answering inquiries, retrieving demographics, etc
- Communicating with other health professionals; referring physicians, pharmacies, other specialists, etc
- Process inbound referrals: filing based on urgency, suspected diagnosis, and feasibility of our clinic to manage the case
- Managing multi-lined phone system
- Manage a large database of patient files, ensuring that information is up to date and reliable.
- Liaise between medical departments with discretion and professionalism.
- Adhere to policy and procedures during all activities.
- Assisting in the set up of new clinic components/systems, such as EMR modules, patient data transfers, contacting medical supply vendors, etc
- Informing patients of all relevant clinic policies
- Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
- General clerical duties
- Other medical or administrative duties as required by the physician.
Requirements:
- Education: High school or high school equivalent
- Certification in medical secretary/administration
- At least 1 year of experience using Accuro EMR
- Minimum of 2 years of experience in a medical or administrative setting
- Strong organizational and time-management skills
- Excellent communication and interpersonal skills
- Proficient in Microsoft Office Suite
- Knowledge of medical terminology and electronic medical records systems is a plus
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
- A friendly, positive attitude and a passion for helping others.
- Knowledge of Ontario medical confidentiality requirements
- Working knowledge of medical administration practices
- Computer fluency in typing (60 wpm), transcribing, managing spreadsheets and databases, navigating Windows directories, and keyboard shortcuts
- Ability to problem solve and troubleshoot issues related to computers, fax machines, and phone lines
- Ability to work independently as well as part of an interdisciplinary team
- Understanding of the Ontario Ministry of Health and Long-Term Care billing system
- Knowledge of dermatology, immunology, rheumatology, and/or inflammatory diseases and other medical terminology is an asset
