WORK ORDER COSTING, DATA ENTRY & RECEPTIONIST
ACCOUNTABILITY:
Reports directly to the Front Office Supervisor
SCOPE OF RESPONSIBILITY:
Responsible to represent Ecco Supply in a professional manner when dealing with customers in person or on the phone, accurately calculate and process all work orders and daily supplier receiving, ensuring Ecco's costs for labor and material, as well as, physical inventory is accurately accounted for.
SPECIFIC REQUIREMENTS - but not limited to:
Candidate must have impressive mathematical skills and enjoy working with numbers
Must be able to multi-task and adapt to challenging situations
Enjoy performing continuous repetitive tasks
Experience with a multi-line telephone system
Intermediate knowledge of Microsoft Excel
Experience working with Accounting Software
SPECIFIC DUTIES:
- Make a personal commitment to consistently provide superior customer service to Ecco’s customers so they will want to do repeat business with Ecco Supply.
- Work closely with other team members in our front office and share in all Reception responsibilities.
- Calculate daily, all customer, interbranch, stock and production work orders accurately and efficiently.
- Process all work orders via VAI accurately and efficiently.
- Work closely with the Fabrication Manager and Purchasing Departments for accurate work order costing, updated shop rates and inventory control.
- Work closely with Data Entry and our Order Desk for work order costing on customer orders.
- Daily data entry of receiving information on material or equipment form our suppliers.
- Reception duties including answering incoming calls in a very pleasant and cheerful manner, welcome and direct visitors - identify, screen and announce arrival and offer coffee.
- Process cash sale transactions in a professional, pleasant and accurate manner.
- Shared responsibility of filing branch orders, work orders and interbranch receiving.
- Assist with end of the month customer statements.
- Assist members of our front office team as needed or on scheduled vacation days and/or appointments.
- Participate in regularly scheduled cross-training exercises.
- Assist with end of year paper purge.
- Assist in yearly inventory - mandatory overtime 1 weekend, at the end of November each year, starting at 4:30 pm on a Thursday thru to Sunday.
- Assist in other areas of branch operations as requested by Management.
- Read and comply with Ecco's Health and Safety Policies and Procedures.
- Report any accidents, incidents and near-misses immediately to your supervisor.
- Assist in the success of Ecco’s Safety Program with suggestions, by setting a good example, and by ensuring that safety is at the forefront of your actions while at work.
