Objectives of this role
● Manage company facilities, including space planning/design, vendor contracts and relations, and office functions and services
● Serve as primary liaison between company staff and building managers, providing information, answering questions, and responding to requests
● Oversee and achieve organizational goals while maintaining an efficient, productive, and positive office culture and employee experience
Responsibilities
● Handle phone calls and all related correspondence
● Maintain cleanliness of office space
● Greet office visitors and field inquiries from sales representatives
● Monitor office email and distribute accordingly
● Perform a variety of administrative duties, such as generating and distributing memos, letters, spreadsheets, employee forms, and sorting and distributing incoming mail
● Complete and maintain filing and job binders for all completed work
● Prepare and send invoices, maintain client databases, monitor and complete follow ups for A/R
● Enter timesheet data for employees into QuickBooks and ensure accuracy
● Update spreadsheets used by accounting, production, and estimators
● Ensure adherence to relevant company procedures and policies
● Other duties as assigned
Required skills and qualifications
● Adaptability and flexibility to adjust priorities for whatever task is most important at any given time
● Proven success in office administration
● Superb written and verbal communication skills
● Strong time-management and multitasking abilities
● Ability to maintain confidentiality of company information
● High school diploma or equivalent
● Outstanding communication and interpersonal skills
● Excellent organizational and time management skills
● Proficiency with all Microsoft programs, QuickBooks, and the aptitude for learning new software and systems

Salary: $22.00 to $25.00 per hour
