Location: New Westminster Office
Schedule: Monday to Friday 9 am to 5 pm
About Dan’s Legacy
Dan’s Legacy provides trauma-informed and culturally sensitive counselling and life-skills programs to youth at risk in Metro Vancouver. These young people, aged 15 to 25, are at significant risk of overdose, self-harm, homelessness, and suicide. Dan’s Legacy’s therapy and outreach teams go directly to the youth wherever they are, we aim to maintain a no-wait list, and all the organization’s services are free. In the past year, Dan’s Legacy helped over 600 youth stabilize their mental health, and begin working towards their educational, employment and recovery goals.
Position Description:
This self-motived individual will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for developing internal office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation.
The successful office manager is an energetic professional who doesn't mind wearing multiple hats. They are experienced in handling a wide range of administrative duties, executive support-related tasks and working independently with little or no supervision. Must be well organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people.
The Office Manager will report to the Human Resources Manager.
Key responsibilities include:
- Welcome guests, visitors, and staff to the office as well as provide general support
- Undertake daily administrative tasks to ensure the functionality and coordination of the Counselling and Wrap-Around Programs activities
- Assist Executive Director, Program Director and HR Manager with administrative duties
- Point person for maintenance, mailing, shipping, supplies, equipment, and errands
- Effectively communicate via phone and email ensuring all administrative tasks are completed accurately and in a timely manner
- Maintain administrative records
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
- Responsible for organizing internal and external events (conferences, meetings, presentations, etc), sending invitations, ordering catering, arranging accommodation, arranging audio visual equipment and required materials while providing support to supervisors/managers/directors & executive director
- Create monthly newsletter with input from staff and distribute to all staff
- Manage office supplies and purchase necessary replacements
- Coordinate with IT department on all office equipment, maintain records of all computers
- Responsible for alarm system, programming, assigning codes and providing office keys to staff
- In the event of faults/deterioration at NW office, diagnose the problem, when possible, propose solutions to Human Resources Manager
- Assist in recruitment processes: support HR Manager in posting jobs internally and externally, screening resumes, scheduling interviews and coordinate candidate assessments.
- Run errands and other duties as assigned
Desired Skills and Experience:
- Minimum two (2) years of relevant work experience (e.g. office management, administration, not-for-profit)
- Must be double vaccinated against COVID-19
- A wide degree of creativity and latitude is expected
- Strong written and verbal communication skills
- Excellent time management skills
- Highly organized with exceptional attention to detail
- Demonstrate above average computer literacy in standard office software programs, i.e., Word, Excel, Zoom, e-mail, and smartphone applications for administrative duties. Create business email addresses for new hires
- A successful criminal record and vulnerable sector check will be required prior to the start of employment
