Position Description:
SeifMoney, a growing international e-wallet and payment services provider, is looking to expand its Canadian team by adding an enthusiastic and experienced Office Manager. To succeed in this role, you should be a reliable professional and well versed in Office Management. Your role will be to ensure the smooth running of the office, helping to improve company procedures and day-to-day operations, while ensuring high levels of organizational effectiveness and communication.
Essential Duties & Key Responsibilities:
- Schedule meetings and appointments.
- Organize office operations and procedures.
- Coordinate with IT department on all office equipment.
- Work with Accounts Payable team to manage and process invoices, and ensure timely payment.
- Partner with HR to support where needed.
- Manage office G&A budget, ensure accurate and timely reporting.
- Provide general support to visitors.
- Assist in the onboarding process for new hires.
- Address employees queries regarding office management issues (e.g. stationery, equipment and travel arrangements).
- Organize corporate and internal meetings, parties, and events.
- Assist in booking travel, hotels and restaurants.
- Manage and process employee and office expenses.
- Take meeting notes when required.
Qualifications:
- Proven experience as an Office Manager or Administrative Assistant.
- Knowledge of Office Administrator responsibilities, systems and procedures.
- Proficient in office software, such as MS Office, scheduling tools, spreadsheets, databases, including administering communications tools such as Slack and MS Teams.
- Excellent time management skills and ability to multi-task and prioritize work, with an eye for detail.
- Ability to problem solve & troubleshoot.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills in a fast-paced environment.
- A creative mind with an ability to suggest improvements.
- Have a self-starter and resourceful attitude; able to work independently.
- Conduct yourself in a professional manner, with high integrity and excellent teamwork.
- Thrive in a social environment and know how to create positive and long-term relationships.
