Veterinary Medical Receptionist
Peak Veterinary Hospital (PVH: https://peakvet.ca/peak-veterinary-hospital/event-photos) has a great opportunity for an experienced Veterinary Medical Receptionist and we will consider candidates with great customer service skills with Reception experience too (the internal job title is “Client Care Specialist”)! As a Veterinary Medical Receptionist, you’ll play a key part in growing our business. You’ll be the first point of contact for our clients, booking appointments, direct calls or e-mails and ensuring clients have a positive experience with us.
What does the role look like?
- Booking in appointments for pet owners (accurately recording the clients reason for the visit, scheduling the correct service and adequate time for appointments)
- Advising clients over the phone on possible services they may want to consider (ex. Routine vaccines that are past due, pet grooming services, etc.)
- Asking each client how their visit was (notifying the Practice Managers if any clients didn’t have a good experience) and encouraging clients to provide us with a positive Google review
- Being the first point of contact for customers, whether it’s an appointment or general question
- Directing client calls or e-mails to the appropriate person
- Recording notes from clients and passing them on to the appropriate person
- Invoicing clients for each visit and reviewing each invoice for accuracy
- Correct pricing for services, additional charges are added, charges for medications, etc.
- Inventory management
- Entering new inventory in the system when it is received and completing inventory counts periodically
- Ordering office supplies as needed
What are we looking for?
- The ideal candidate will have completed the Veterinary Medical Receptionist course or have previous experience working in a Veterinary Practice
- However, we will certainly consider candidates with exceptional customer service skills, are motivated to succeed and can take initiative
- Your previous experience could include working as a Customer Service Representative/Client Care Specialist, general Receptionist or Administrative Assistant
- At least 2-3 years of related or transferable work experience
