Full Job Description
Welcomes and greets all patients and visitors, in person or over the phone while maintaining a polite, consistent phone manner and accessing patient information from scheduling program, and EMR.
Answers all telephone calls promptly, screens calls, answers inquiries, relays messages, and refers callers to appropriate person or area.
Schedule patient appointments accurately with all testing requested by the physician.
Conducts phone calls to patients that require schedule changes, or urgent appointment information.
Intake patients’ visual concerns/complaints for the triage team to facilitate patient care.
Registers new patients and update existing patient demographics by collecting detailed patient information.
Confirm each patient’s information is correct and accurate at every visit.
Maintain and manage patient records regarding their illnesses, treatment, and diagnosis with a high level of competency and confidentiality.
Move patient through the appointments as scheduled with high attention to detail.
Responds to inquiries by patients, prospective patients, referring doctors’ offices in a courteous manner.
Safeguard patient privacy and confidentiality
Picks up, sorts, and distributes incoming mail/fax messages/in-house delivery or courier pickups.
Retrieves reports and faxes to physicians and their assistants as required. Entering data and testing results into patient files.
Responsible for keeping the reception, waiting room and administrative support area clean and organized.
Keep all areas clean of garbage.
Complies with all company rules, regulations, Policies and Procedures in accordance with the Policy and Procedure Manual, Occupational Health and Safety Manual, and the Employee Handbook.
Performs other related duties as required.
The successful applicant brings:
Experience delivering exceptional customer service in a face-to-face environment.
Certification as a Health Information Office Assistant, Unit Clerk, or Medical Office Assistant required.
Knowledge of medical terminology and anatomy required.
Strong ability to multi-task with a knack for self-managing and prioritizing based on clinic needs.
Ability to multitask, organize, and prioritize with changing workloads and schedule variances.
Computer/keyboarding skills required, typing skills 45 WPM, or better required.
Good interpersonal and effective communication skills (verbal, written, and oral).
Strong attention to detail.
Ability to demonstrate excellent customer service to all patients.
Focuses towards working in a team environment with an upbeat attitude, with the willingness to learn and work professionally to support both patients, their companions and the physicians.
Requires use of the phone, computer, and sitting for extended periods of time.
Normal movements of twisting, bending, reaching, and using hands and arms in completing paperwork and administrative tasks.
May be required to lift items up to 3 kilograms.
Must be prepared to work flexible hours as required to complete duties during non-business hours.
IFA EMR, CIS Scheduling system is preferred.
Schedule varies between 7am-830am start, Monday-Friday with occasional Saturday’s.
6-8 hours shifts.
