Fair Isle Ford Lincoln is a leading automotive dealership in Charlottetown, committed to providing exceptional customer service and quality vehicles to our valued customers. We pride ourselves on our friendly and professional team, and we are now seeking a dedicated Receptionist/Administrative Assistant to join us.
Responsibilities:
Reception / Administration:
· Greet and welcome visitors, ensuring they feel comfortable and attended to
· Answer incoming phone calls and transfer them to the appropriate department or individual
· Check and pass on messages from voicemails
· Count cash/cheques and balance/close till
· Fill out bank deposit/request change
· Check post-dated cheques, enter transactions into PBS, fill out Ford credit slips for accounting
· Check/top up the coffee counter – pick up fresh milk & cream when needed
· Serve customers, take payments, cashier service orders
· Put Saturday float together ($200)
· Update the board as people come/go from the showroom
· Courier any paper Ford Credit contracts out
· Wipe down surfaces as needed
· Order office supplies
Sales Assistant:
· Maintain key lists and update as vehicles come in/are sold
· Check dealer plates against a list
· Check Gas POs have stock numbers on, and only signed by employees
· Update vehicle invoice folder, remove sold units
· Once every two weeks, download and save PDFs of all POA forms from InFord
· Update the Demo List on the last day of each month
· Perform inventory reconciliation against NVIS and registrations
· Check and file used sales paperwork in the office upstairs
· Provide an updated auction wholesale sheet
· Create deals for sold Auction vehicles, send out registrations, and record deal information
· Tag and file used vehicle trades, record movement in Rapid Recon
· Complete paperwork for Fleet Vehicle Sales, Auction Sales, and DealerTrades as required
Requirements:
· Previous experience in a receptionist or administrative assistant role is preferred
· Excellent communication skills, both verbal and written, with a professional phone manner
· Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other relevant software
· Strong organizational and multitasking abilities, with exceptional attention to detail
· Ability to maintain confidentiality and exercise discretion in handling sensitive information
· Demonstrated knowledge of basic accounting principles and practices is an asset
· A positive and friendly attitude with a customer-focused approach
· Strong problem-solving skills and the ability to work effectively under pressure
· Demonstrated ability to work both independently and collaboratively as part of a team
· Knowledge of the automotive industry and dealership operations is a plus
Job Types: Full-time, Permanent
Salary: $17.00-$19.00 per hour

Education:
- Secondary School (preferred)
Experience:
- Front desk: 1 year (preferred)
