McMillan has an exciting opportunity as an Executive Receptionist and Hospitality Assistant as part of our Calgary Hospitality & Concierge Services team. As a member of the lively team, you will play a key role in ensuring all meetings, events and operations run smoothly while setting the stage for five-star client service.
It is important to note that this role has a requirement to work onsite in the Calgary office at all times. This role will provide support to firm members both onsite and remotely but the successful candidate will always work from the Calgary office.
What You’ll Do
Reporting to the Calgary Office Manager, in conjunction with the Supervisor, Hospitality and Concierge Services, you will have a dynamic role and support a well-established and newly renovated Client Centre as well as assist with events in the office and offsite for both external and internal clients. This includes supporting on event coordination and logistics, including liaising with external caterers and agency staff, event setup, invoice management and maintenance of event statistics. You will also complete food safety and responsible alcohol service courses (provided by the firm) as service of alcohol at firm events may be required.
As an exceptional client service ambassador, you will be involved in a wide variety of tasks. This includes: greeting and announcing all visitors, answering and transferring calls as appropriate, maintaining boardroom settings, providing concierge service support for clients and lawyers, supporting all meeting and boardroom event activities and initiatives and liaising with other departments and national Hospitality team on a variety of a projects.
You will become an expert in the internal meeting workplace booking system being aware of all events and meetings on a daily basis and overseeing boardroom bookings (including last-minute requests) and coordinating related logistics as required.
And finally, you will also provide back-up support to the Business Centre and assist with special projects, functions and other departments and the Calgary office as needed.
What You Bring
Your administrative history includes 1-3 years in the professional services, hospitality or retail industries. You have strong client service skills and thrive in an environment that is fast-paced and requires multitasking, by demonstrating a calm and professional demeanor. You are a collaborative and reliable team player who is enthusiastic and who can also successfully work independently. You are also detail-oriented and your communications skills, both written and verbal are excellent. You embrace evolving technology and have strong skills in Microsoft Word, Excel and PowerPoint. You are also proficient in using Cisco Phones and Meeting Workplace Booking System software. Additionally, you are comfortable operating all audiovisual equipment in a boardroom setting and able to lift up to 15 pounds. Finally, you are flexible to work additional hours on occasion or on short notice.
