Summary of JobThe Receptionist will assist the sales department with various day-to-day needs as well as providing exceptional customer service. Sales Managers may provide direction on tasks that need to be completed throughout the day. Primary areas of focus will be greeting customers, distributing sales leads and managing the inventory. The receptionist will always maintain a positive, professional attitude and contribute to maintain a healthy team atmosphere.

1. Customers- Answer phones and greet customers and staff in a courteous and professional manner.
- Dispatch walk-in clients to the next available Brand Specialist.
- Process evening payments and invoices for our service clients.
- Handle overflow calls from service and take messages if necessary.
- Dealing with customer issues/complaints
- Maintain a clean, stocked, and presentable coffee station for our guests.
2. Inventory- Update invoices from Mercedes-Benz into dealer system (accounting update, assign stock numbers)
- Stock in vehicles that come in from transport.
- Create vehicle files (invoice, NVIS)/key tags/window hangers.
- Create PDI work orders for new units that come in from transport.
- Input incoming dealer trades into dealer system.
- Complete weekly inventory health checks for both New and Pre Owned.
3. Administrative- Handle courier incoming/outgoing for sales department
- Order business cards for sales department
- Ensure supplies are adequate (file folders, paper for printer, etc) in the workspace.
- Create deal jackets for the sales department.
- Keep files for vehicles organized and in sequence.
- Managing administrative duties including but not limited to managing gas cards, dealer plates, password management, phone lists, daily reports, employee lists and file/key logbook.
- Be courteous and professional to staff and customers.
- Time Management: to ensure required tasks are completed as requested in a timely and accurate manner.
- Self-motivated and able to complete tasks without constant supervision.
- Maintain a valid Alberta Driver’s License
