Department Description:
The Office of the Registrar proudly supports McMaster University’s academic mission through the creative, efficient provision of core administrative student services and the support of staff and faculty across all areas of the university community. Our work in supporting the student experience reaches from initial contact with prospective students through the celebrations of convocation. We are a smart, collaborative staff of approximately 100, spread across 8 departments: Student Services, Aid & Awards, Student Recruitment, Undergraduate Admissions, Student Records & Systems, Scheduling & Examinations, Student Communications and Central RO Administration.
The Student Recruitment department plays a crucial role in promoting and supporting the recruitment strategy in the Office of the Registrar. We attract international and domestic undergraduate applicants by establishing recruitment networks and sharing McMaster's story digitally, in-print, and in-person. We develop and maintain relationships with prospective undergraduate students and their influencers, such as parents, educators, and guidance counselors.
We are currently seeking a dedicated Student Recruitment Officer (Black Student Focus) who embodies excellence. Serving as the "face of McMaster," you will be creative, confident, and skilled in building relationships with Black high school students, their communities and support networks; with a focus on recruiting well-qualified undergraduate black students to the university. You will utilize data management systems such as CRM, Mosaic, Power BI, and use data to inform decision making and generate innovative solutions to enhance student recruitment activities.

Job Summary:
Working under the directive of the Student Recruitment Team and collaboratively with the Black Student Success Team, the successful candidate will attract well-qualified applicants to the University through a variety of centralized recruitment efforts, programs, and initiatives.
Purpose & Key Functions:
- Develop conceptual plans and budgets for projects.
- Implement projects and ensure adequate staffing and that projects come in on time and on budget.
- Develop and deliver presentations to potential applicants, families, and guidance counsellors to promote the various faculties and specific programs within the University and to ensure the University meets its target enrolment.
- Plan and coordinate various University recruitment events and campus-wide activities.
- Develop estimates of time and resources required for a variety of events and activities.
- Develop and implement market research strategies to establish and remain current with market trends.
- Develop, implement, and coordinate a marketing plan for annual recruitment activities ensuring the image and reputation of the University is maintained.
- Analyze travel reports and previous year's statistics to develop the school visit schedule.
- Monitor and reconcile accounts, prepare financial statements, calculate program costs, travel expenses, and develop budget proposals.
- Negotiate terms and prices with external suppliers for services, supplies and equipment.
- Design and develop learning and training materials for temporary staff.
- Develop and deliver training sessions to temporary staff.
- Update, maintain, and verify information in a variety of databases and spreadsheets.
- Write and edit a variety of documents including, but not limited to, marketing materials, reports, correspondence, and email.
- Create, monitor, and update websites and electronic request forms.
- Write and modify queries to extract data from databases.
- Facilitate focus groups to determine the effectiveness of current publications and to identify areas for improvement.
- Document and provide feedback to senior staff regarding the target audience’s perception of the University.
- Meet with and respond to inquiries from prospective students.
- Liaise regularly with stakeholders across the campus.
- Attends and represents the University at recruitment events.
- Travel to visit high schools and complete student registration activities.
- Ensure the confidentiality and safeguarding of student files.
- Maintain filing systems, both electronic and hard copy.
- Remain current with frequent changes in all academic areas, programs, admission policies and procedures, electronic media, and social networking.
Supervision: Ongoing responsibility for supervising up to 9 casual employees at any one time.
Qualifications:
- Bachelor’s degree in a relevant field of study.
- Requires 3 years of relevant experience.
The successful candidate must possess the following:
- Strong relationship building skills.
- Strong connection to communities and experience working with black youth and their support networks.
- Experience in undergraduate student recruitment.
- Experience in developing and executing black youth focus outreach and recruitment activities.
- Experience working in partnership arrangements through collaborative methods.
- Understand relevant demographic and market trends of black students in Ontario, across Canada and around the globe
- Lived experiences and strong understanding of black cultures, and values.
- Experience creating and maintaining various social media and other digital communication channels (i.e. Webinar and live chat support).
- Excellent communication skills, including experience in public speaking and delivering presentations. Must be prepared to make several presentations each day.
- Works equally well as a team member or independently.
- Proven record of tact and diplomacy, conflict resolution skills and the ability to work within a rapidly changing environment.
- Excellent Customer Service Skills
- Experience in market research (establishing and remaining current with market trends).
- Project Management Skills
- Knowledge of and experience with relevant software (e.g. MS Office: Outlook, Word, Excel, PowerPoint, etc.);
Knowledge of Ontario Secondary School curriculum and challenges, preferably gained through direct experience with secondary school teachers, administrators, and support staff.
- Familiar with issues related to student recruitment, admission, university life and issues surrounding Black students.
- Knowledge of McMaster University programs and admission requirements
Additional Information:
- Some Evening and weekend work is required.
- Must be able to lift and carry materials in the range of 30 to 50 lbs.
- Must have a valid “G” Ontario driver’s license and valid passport.
- Travel extensively during the fall season across Ontario, and possibly across and outside of Canada to conduct high school visits. Travel will continue periodically throughout the rest of the year.”
