This position describes a long term employment opportunity within the Kova Group of Companies comprised of Kova Engineering Ltd., Red Associates Engineering Ltd. and Unrau Technologies Ltd. (UTL).
Our company is currently seeking an outgoing, enthusiastic Scheduler/Administrative Assistant to fill a full-time position in our Surrey, BC office.
Job Description:
The ideal candidate will have a clerical background in the Construction or Mechanical industry. This candidate is expected to have the ability to comfortably interact with clients and staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality, which is crucial to this role.
Responsibilities:
- Answer general phone inquiries in a professional and courteous manner, direct detailed inquiries to the appropriate staff members
- Greet visitors to the organization in a professional and friendly manner
- Sort incoming mail, faxes and deliveries for distribution
- Create and receive shipments and couriers
- Track office supplies and order when necessary
- Provide exemplary communication with professionalism between all departments and clients
- Prepare memorandums and correspondence between office staff
- Maintain communication among employees, ensure all employees are following proper protocol
- Prepare reports and correspondence between office staff and clients
- Ensure file record keeping is organized on the server
- Provide administrative support to Aerospace Department
- Maintain database system by entering new and updated customer and account information
- Promptly answer and return phone calls in a professional, polite, upbeat, and articulate manner with consistent emphasis on superior customer service and attention
- Data entry and upkeep of the Kova Red UTL database, while ensuring a high level of accuracy in accordance with our database policy
- Coordinating and maintaining company vehicle and equipment maintenance
- Processing timecards and expenses
- Support the booking and scheduling of inspections
- Project our company image by maintaining a professional demeanor
Ideal Skills and Qualifications:
· Excellent interpersonal, written, and verbal communication skills in English with strong attention to detail
· Well organized with the ability to work under pressure
· Ability to work under pressure
· Decision making, planning, and problem-solving abilities
· Professional personal presentation and be customer service oriented
· Strong computer skills i.e., Microsoft Office Suite
· Experience in a related field or general knowledge of the crane industry an asset
