Accounting Services Coordinator with Mission Public Schools
Summary
Work is performed under the direction of the Director, Finance and Manager, Finance. Tasks are both technical and analytical in nature and range in complexity from intermediate to advanced. Close attention to detail, and independence of judgment, based on a sound understanding of district and departmental policies, and accounting principles, are required attributes. The job requires the development of procedures. Duties are often performed with minimal supervision, with a responsibility to organize workflow to ensure deadlines are met. This position is also a key liaison between the schools and the board office with respect to school based financial training, guidance, and oversight.
Duties include, but are not limited to:
School district administrator for the KEV School Cash program (expert level knowledge); provide training and support to school staff
Develop School Cash training templates, procedures, and user guides
Maintain database information between School Cash and MyEd systems
Provide training, support, and supervision to school staff related to district financial processes and procedures, financial reporting, and budget management for school generated funds and school operating budgets
Lead pro-d day training sessions on financial systems and procedures for school staff
Respond to budget and financial procedure inquiries from department managers
Carry out school financial audits
Travel to school sites as required
Analyze monthly purchase card program transactions for irregularities and reasonableness
Process and track monthly facility lease invoices
Analyze union leave data and payroll recoverable costs for reasonableness, prepare monthly invoices to MTU, CUPE, and the Ministry of Education
Communicate with unions regarding cost recovery discrepancies or concerns
Process school district receipts and bank deposits
Process journal entries
Prepare and analyze balance sheet reconciliations
Analyze transactions and process quarterly GST claims to CRA
Prepare monthly district bank reconciliations
Review monthly school bank reconciliations
Coordinate, review, and prepare monthly payroll benefit remittances
Track and record details of Ministry of Education grants
Review and process transportation charge-outs
Review district and school donations, process tax receipts
Prepare and/or assist with financial reporting requirements for the Ministry of Education, CRA, Statistics Canada, and other federal and provincial government entities and stakeholders as required
Assist with budget preparation
Perform variance analysis and ad-hoc reporting/analysis requests as required
Perform year-end tasks as required, including preparation of audit working papers
Supervise school year-end process and assist school staff as required
Perform other related duties as may reasonably be expected of a person in this position
Required Qualifications:
Completion of grade 12
Successful completion of two years in a recognized accounting program, or equivalent combination of education and experience
A valid class 5 driver’s license
A clear criminal record review to be updated every five years
Required Experience :
Three years of relevant financial and accounting experience
Demonstrated experience with training non-financial staff on financial procedures
Required Skills and Abilities:
Superior attention to detail
Superior organizational skills
Superior interpersonal and communication skills, both oral and written
High degree of mental concentration/focus required for significant periods of time
Sound knowledge of office procedures and records management
Sound knowledge of computerized financial accounting systems
Demonstrated advanced Excel skills
Ability to interpret collective agreements regarding allowances and recoverable costs
Ability to perform accounts payable (Accounts Clerk role) if required
Ability to work effectively within deadlines and other time pressures
Ability to work co-operatively and collaboratively, and to maintain effective working relationships
Preferred Skills and Abilities:
Proficient in the use of Power School Atrieve
Proficient in the use of KEV School Cash administration and support
Working knowledge of standard school district operations, polices, and procedures
NOTE: A clear Criminal Record Review to be provided, and updated every five (5) years
WAGE: $33.80/hour
Full Time: 35 hrs/wk
