Reporting to the Manager, Learner Equity, Diversity, and Inclusion, this position supports the Learner EDI Team with administrative support, provides reception in the Intercultural Centre (IC), and helps to develop resources and content for IC events and displays.
Specifically, the incumbent is responsible for:
- Administrative Support.
- Learner Support.
JOB RESPONSIBILTIES:
Administrative Support
- Assists with managing the use of Intercultural Centre space, including room booking and set-up of flex spaces.
- Creates and assists in room bookings and arrangements for meetings and presentations for Learner EDI Team.
- Generates, amends, and distributes reports from Learner EDI Team databases and learner information system as needed.
- Assists and participates in Learner EDI Team events and information sessions (including planning, preparation, minute-taking, and follow-up).
- Inputs and tracks data in the College and government databases in a timely and accurate manner.
- Sends and receives correspondence.
- Maintains information and records, tracks and manages data.
- Obtains training in any software/databases necessary.
- Collects and compiles necessary data for reporting purposes in collaboration with the Manager, Learner Equity, Diversity, and Inclusion.
- Assists any new users and ensures cross-training as appropriate.
- Supports administrative processes related to the IC and Learner EDI team. Drafts and sends routine correspondence and email announcements.
- Helps to curate culturally significant materials for the IC Showcase and displays to promote inclusion and awareness at the College.
- Supports members of the EDI Team to recruit Learner EDI Team volunteers, coordinate training, and manage volunteer schedules.
Learner Support
- Greets and assists learners with front-line inquiries.
- Triage learner requests and determine if requests require additional assistance.
- Corresponds with learners regarding registration for events and record keeping of attendance.
- Compiles and distributes information to staff and students regarding events, initiatives, and workshops.
- Makes referrals to other department areas (Academic Departments, Office of the Registrar, etc.) as required.
Other Duties as Required
- Participates in Intercultural Centre initiatives when needed.
- Participation in College events as required (e.g., New Student Orientation, Open House).
- In addition, will be cross trained in other administrative positions within the department, and is expected to assume the required duties of peers during vacation and other absence periods.
JOB REQUIREMENTS
Minimum Qualifications
- Certificate in Office Administration or related.
- 2 years in an administrative or related role.
- Demonstrated customer service experience and strong interpersonal communication skills.
- An equivalent combination of education and experience may be considered.
Preferred Qualifications
- Demonstrated ability to multi-task, work independently and in a team-based environment.
- Experience working in a multicultural environment and with a diverse learner population.
- Related working experience with various computer applications.
