ADMINISTRATIVE ASSISTANT
Permanent Full Time

37.5 Hours/Week
Work Arrangement: Onsite
ErinoakKids is currently seeking a dynamic Administrative Assistant for a permanent full time opportunity based out of the Mississauga site. Reporting to the Supervisor, Administrative Assistants, the Administrative Assistant will perform a broad range of administrative support activities and will interact with staff, clients, as well as various internal/external partners. The successful candidate must demonstrate a high level of attention to detail and be a highly organized, self-starter, with clear and proven initiative.
Key Responsibilities:
- Administrative support including scheduling on-site, virtual meetings; organizing venue/room bookings, and preparation of materials for various meetings, workshops and events;
- Support accounts payable for sub-contracted partners by tracking, processing and reconciling invoices and preparing for COM/BOM approval;
- Generate various reports for program information and management as requested (e.g. pending appointments, discharges);
- Provide support to various programs administration as requested (e.g. maintaining or creating spreadsheets, facilitating calls to families or community);
- Attend meetings and record actions/minutes and distribute as needed;
- Provide administrative support to site including, but not limited to responding to site inquiries, copying and/or transmission of documents and general office maintenance;
- Assist with the purchase, organization and distribution of office and clinical supplies, ensure sufficient levels of stock and supplies are maintained;
- Provide primary or backup administrative support to various clinics (e.g. seating, orthotics), including processing referrals and registration;
- Provide primary or back up administrative support to Medical Clinics (e.g. enter pendings, fax billing sheets);
- Reconcile VISA statements;
- Act as primary contact for supervisors, consultants and vendors as assigned;
- Additional duties as assigned.
Qualifications:
- A minimum of 3 years’ experience in an administrative role, preferably within a children’s treatment centre, or within a related health care environment;
- Post-secondary level education in Business Administration or a related field; Medical Secretary Diploma is an asset;
- Proficiency in a variety of software applications including Microsoft Office (Outlook, Word, Excel and PowerPoint);
- Knowledge of Meditech Expanse is a strong asset;
- Positive attitude; dependability and reliability; demonstrated commitment to providing outstanding service;
- Superior written/oral communication skills; excellent interpersonal and relationship building skills;
- Excellent time management and organizational skills;
- Ability to adjust work schedule to meet changing priorities and accept assignment of new tasks which may require additional learning and problem-solving;
- Demonstrated ability to make decisions, exercise good judgment, discretion and initiative when dealing with confidential information;
- Bilingualism in French and English is an asset.
