As an Administrative Assistant you will:
- Type documents, charts, presentations and other documents
- Maintain calendars, schedule travel and location for meetings, and take meeting minutes
- Independently maintain and bring-forward filing system and track activity summaries
- Handle mail orders, office purchases and office equipment
- Respond to inquiries by phone and in person
- Aid in the recruitment process (i.e. schedule interviews, prepare and return documents to the Talent Office)
- You are organized, can prioritize your workload and can route and track workflow items through various offices for obtaining approvals
- You work well with others and independently
- You can review and edit technical documents and correspondence to ensure grammatical accuracy and adherence to correspondence standards
- You know how to be diplomatic when dealing with difficult calls and to empathize with client's needs
- You can communicate effectively to provide services to clients and prepare accurate speeches and reports
- You can compose letters, such as acknowledgements, from brief verbal instructions
- You are able to work independently, within strict deadlines
- You are proficient with a range of computer software including word processing, graphics, presentation and database packages
- You have accurate keyboarding skills and can type to Ministry standards
- You have knowledge of current procurement guidelines
- You have knowledge of financial processes and guidelines to coordinate purchasing of cards, goods and services and expense entitlements
- You are able to verify invoices and reconcile purchasing card statements for approval
- You can perform monthly reconciliation of cost centres and expense claims
