Job Description
PRIMARY ACCOUNTABILITY:
· Support all HR related activities for Western Hard Chrome.
· Communicate effectively with employees and managers to ensure HR and personnel support systems are functioning properly.
· Provide administrative support to allow smooth office operations.
KEY POSITION FUNCTIONS:
· Prepare new hire personnel files before employees first day.
· Control personnel files and other HR documents as required.
· Maintain personnel files including organizing employee files and filing electronic and physical documents in the personnel files.
· Assist with closing out employee offboard files and managing the offboarding checklist.
· Prepare new hire packages and letters.
· Organize and assist supervisors with employee interviews.
· Conduct probationary and annual employee reviews with the employee and associated supervisor.
· Complete payroll runs for all employees using PayWorks.
· Support all employee HR / WCB inquiries and concerns.
· Manage and monitor employee vacations.
· Inform the team of all birthdays and work anniversaries.
· Greet and direct employees or visitors when they come to the reception desk.
· Answer main office line and route calls to department personnel as appropriate.
· Assist with reception duties, make photocopies, and scan / file documents as required.
· Review and confirm employee submitted forms have all required signatures and are filled out completely and correctly.
· Assist with planning, scheduling, and calendar updates for team activities, birthdays, and events.
· Provide administrative or project support as assigned and for special projects.
· Maintain inventory and order office supplies.
· Order shop materials and parts as required.
· Edit and prepare final correspondence, agreements, and memoranda as well as confidential actions related to employment, formal discipline notices, and quality, health, and safety.
· Cross train with other members of the office administration team to assist during peak service periods and serve as a back-up.
· Support the ISO 9001:2015 Quality Management System by maintaining the document control log and posting of approved procedures.
· Maintain daily, weekly, and monthly sales reports for Senior Management.
· Assist with data entry into the QuickBooks accounting system.
· Initiate the creation of production work orders and compile the costing summary when all production operations are completed.
· Maintain safe and healthy work environment by following WHC policies and procedures and complying with legal regulations.
Perform other duties as required.
QUALIFICATION & EXPERIENCE REQUIREMENTS:
Required
· High School Diploma or GED;
· Minimum of 3 years of professional administrative support experience preferably in a Human Resources department or equivalent;
· Front office or phone coverage experience;
· Highly motivated, high energy, team player who enjoys interacting with people and is comfortable interacting with all levels of management and staff;
· Excellent written and interpersonal communication and strong customer service skills; outstanding organizational skills and attention to detail;
· Demonstrated ability to handle confidential and sensitive information;
· Demonstrated ability to independently handle multiple tasks simultaneously, set priorities and meet deadlines in a fast-paced environment with rapidly changing priorities;
· Proficiency with computer applications including Microsoft Word and Excel.
Assets
· Post secondary degree or diploma in Human Resources or a related area
· Experience using QuickBooks
· Proficient with Microsoft Word, Excel, and PowerPoint

Salary: $15.00-$36.93 per hour
