The opportunity:
Under the general direction of the Postgraduate Medical Education Business Manager the incumbent is responsible for providing administrative support to the PGME unit. They will be responsible for arranging all the new workshops for the new Program directors and assist with Program administrator Advanced learning sessions. Likewise, the individual will be responsible for coordinating the annual PGME orientation for all the new trainees including booking rooms and confirming speakers. The incumbent is responsible for providing support to the Resident Administrators’ admission and exiting processes. This includes maintaining and implementing department policies, procedures, and regulations regarding the handling and maintaining documents, processing files, archiving files and organization within the PGME office. Nevertheless, incumbent is responsible for administrative support to the accreditation process and the Alternate Resident Entry and Transfer committee (ARET) including agenda’s notifications, meeting minutes, collection and distribution of documentation and creation of application files including CV’s reference letters.
The qualifications and experience we’re looking for:
- Completion of a formal secretarial/administrative training program from a recognized institution in a related discipline is required.
- Four years of experience in providing administrative support in a health-related field is required.
- Experience with Postgraduate Medical Education is preferred.
- Experience working in a university environment with knowledge of university policies and procedures is preferred.
- Experience with Curriculum Management system is preferred.
- Experience with website management system is preferred.
- Experience taking minutes is preferred.
- Experience working in a university setting is preferred.
- An acceptable equivalent combination of education and experience may be considered.
- A satisfactory work record, including satisfactory attendance and punctuality, is required.
