Executive Administrative Assistant
Job Summary:
Impact Events and Project Management Inc. is seeking an Executive Administrative Assistant to join our team. This position will be responsible for administrative duties and clerical support in the office of our owner. The Executive / Administrative Assistant will work closely with our owner, as well as other managers to assist in the day-to-day operations of the company. This position will report directly to the owner.
Duties and Responsibilities:
- Assist with office needs, including but not limited to: keeping office clean, organizing and managing paperwork; answering phones; scheduling meetings; preparing reports, presentations and other documents for managers and clients
- Assist with administrative tasks including but not limited to: keeping inventory of office supplies; ordering supplies; maintaining office calendar; filing documents, prepare and proofread documents, presentations, and reports.
- Maintain a positive attitude with others and a strong work ethic.
- Provide assistance to executives as needed.
- Manage calendars, schedule appointments, and coordinate meetings for the owner
- Handle correspondence, including emails, phone calls, and other forms of communication.
- Conduct research, collect data, and prepare briefing materials as needed.
- Handle travel arrangements and accommodations for the executive team.
- Support project managers as needed for event planning
- Weekly pick-ups of items sourced for our client roster and events we are producing
- Perform other duties as requested by the owner
Experience:
- Proven experience as an executive assistant, event assistant, or in a similar administrative role.
- Experience in a fast-paced startup environment preferred.
- Experience with Google Suite or similar technology platforms preferred.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in handling documents and data.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent written and verbal communication skills.
- A team player with a positive attitude and strong interpersonal skills.
Job Type: Part-time
Part-time hours: 8-12 per week
Salary: $20.00-$24.00 per hour
