Responsibilities: Reception, Office Administration
- Reception: Ensure the telephone switchboard and front desk are appropriately monitored at all times. Ensure all callers and visitors are greeted, welcomed, and directed appropriately. Ensure basic company security, safety and telecommunications standards are properly maintained, on behalf of the Officer Manager.
- Documents: Ensure all incoming and outgoing mail and deliveries are handled appropriately each day. Maintain an accurate log of all incoming and outgoing client information deliveries, in support of all production service programs. Ensure physical and electronic client records are correctly filed, on behalf of the Office Manager.
- Accounts: Ensure accurate preparation, processing, and tracking of any 'in-person' or 'over-the-phone' payments from both personal and corporate clients on behalf of the Controller. Ensure client relationships are properly updated and maintained by phone or email each week related to assigned Accounts Receivable, about 5-10 calls/emails per week, on behalf of the Controller. As needed to assist the Controller with invoice preparation.
- Office: Ensure the proper practices are undertaken related to office opening/closing, ordering of supplies, arranging of company events, and other miscellaneous duties, on behalf of the Office Manager and the Controller.
Standards of Performance:
- Must be a great team player, friendly, and professional, interacting effectively with all clients and team members. Good communication and listening skills are essential.
- Must display a professional degree of tact, respect and understanding when dealing with all clients and team members.
- Must maintain healthy standards for all office duties, engendering a collaborative, service-oriented, team atmosphere.
- Must maintain healthy standards for handling client files, task management, and organization, and with no loss of information.
- Must love plants (or at least know how to care for them).
Experience Required:
- A track record of successfully serving others.
- 5-7 years experience as a Receptionist, Office Administrator, or similar position.
- A good facility with Microsoft Outlook, Word, and Excel.
- A good facility with general use software.
- Fluent in English.
