Job Description
We are a dynamic and growing organization made up of three core businesses or teams in the real estate industry; sales, asset management and property management. There are currently 26 team members (and growing) across all teams.
We are seeking a reliable, highly organized, and experienced Executive and Personal Assistant to join our team to support the Chief Executive Officer and Chief of Staff. As an Executive/Personal Assistant, you will play a crucial role in supporting our Leadership Team with daily tasks that keep them organized and focused. Approximately 80% of the tasks will be related to the business operations and the remaining 20% will be related to personal tasks.
The ideal candidate will possess prior experience as an assistant and demonstrate exceptional organizational skills when planning and executing projects and dates.
Compensation:
- $50,000-55,000 annual salary
- 2 weeks vacation
- Mileage reimbursement will be given for any work-related travel
- Some overnight travel to the US may be required
Responsibilities:
- Provide confidential support to the Leadership Team.
- Organize and maintain schedules, appointments, and meetings for the Leadership Team and protect their time.
- Review email inboxes and organize emails for action, follow up or filing
- Research and implement tools and systems that will help support more efficient operations within the Leadership Team and ecosystem as a whole
- Maintain a digital to-do list of action items and priorities for the Leadership Team.
- Collaborate with internal teams to gather and compile necessary materials for projects, reports or content creation
- Conduct research and provide insightful recommendations on industry trends, competitors, and social media best practices.
- Be the AI Champion for the team - keep up to date with all new developments and seek ways to implement that will improve business operations
- Oversee supplies and inventory for the office and ensure that it is kept presentable.
- Manage Boardroom bookings and ensure that it is prepared ahead of executive meetings
- Take meeting minutes and action items from team meetings. Follow up with team members on delivering their action items
- Event Planning for team and client events
- Assist with light bookkeeping and administrative tasks
- Organize Google Drive folders and documents
- Personal Assistant tasks for the Leadership Team, including but not limited to; email and calendar management, travel arrangements, food preparation, grocery pick up, laundry drop off/pick up, gift purchasing, appointment setting.
- Manage multiple assignments concurrently, maintain a high degree of confidentiality and always demonstrate ethical standards.
- Other duties and special projects as requested by the Leadership Team
- Handle confidential information with utmost discretion and maintain a high level of professionalism at all times.
- Help to drive a positive team culture and work environment
Qualifications and Requirements:
- Prior experience as a personal assistant or in a similar administrative role.
- Proven ability to work in a team environment as well as independently.
- Strong organization skills.
- Data entry skills and attention to detail.
- Fully Proficient in GSuite (Gmail, Calendar, Sheets, Docs, etc)
- Advanced computer skills.
- Document Management and organization experience.
- Problem-solving skills and resourcefulness.
- Strong work ethic and reliable and dependable
- Excellent written and verbal communication skills
- Possess a learning and growth mindset
- Have own car and full, clean driving record
- Pass a criminal background check
