You will be the welcoming face and the first point of contact for Gordon Crane & Hoist. You will play a crucial role in providing excellent customer service and ensuring smooth administrative operations. Your friendly demeanor, strong communication skills, and professional attitude will create a positive and lasting impression on our clients, visitors, and employees.
Responsibilities:
Front Desk Operations:
- Greet and welcome visitors, clients, and contractors with a friendly and professional demeanor.
- Answer incoming calls promptly, direct them to the appropriate department or individual, and take messages when necessary.
- Manage the reception area, ensuring it is clean & organized
- Handle incoming & outgoing mail
- Make shipping arrangements with couriers
- Accept shipments and manage the incoming/outgoing shipments log
Administrative Support:
- Make travel arrangements for technicians (Book hotels, flights, vehicles)
- Assist with various administrative tasks, including data entry, filing, and document management.
- Manage office supplies inventory and place orders when necessary.
Customer Service:
- Provide exceptional customer service to all visitors and callers, addressing their inquiries or concerns efficiently and courteously.
- Act as a liaison between clients and internal staff to ensure timely and accurate communication.
- Handle client issues professionally, escalating them as necessary to the appropriate department.
Qualifications:
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Proven experience as a receptionist or in a customer-facing role.
- Excellent verbal and written communication skills, with a friendly and professional phone manner.
- Strong organizational and multitasking abilities to manage various responsibilities effectively.
- Proficient in using office software and equipment, including MS Office suite (Word, Excel, Outlook).
- Ability to handle sensitive information with confidentiality and discretion.
- Basic knowledge of the construction industry or willingness to learn about construction processes and terminology.
