Job Description
The Sales Receptionist is responsible for being the first impression and contact to clients, staff, and suppliers. The Sales Receptionist must present a professional image by making a priority of answering incoming calls, appropriately and efficiently directing callers, and greeting clients and suppliers all the while multi-tasking and remaining pleasant and courteous. This position will also provide general administrative support to all staff that requires assistance in this manner.
Duties and Responsibilities:
- Provide friendly, professional, and courteous customer service.
- Meet and greet all clients in the showroom or on the lot and direct them to the appropriate person or department.
- Answer switchboard and direct all calls to the appropriate department, person, or voicemail.
- Provide general administrative support, including faxing, photocopying, mail distributing and filing, entering data, etc.
- Stock incoming vehicles, print purchase orders and create window stickers.
- Maintain office equipment & showroom supplies, i.e., paper in the fax machine/printers, and brochures on the shelves.
- Maintain a working knowledge of where everything on the lot and in the dealership is for direction to customers.
- Responsible for making a list of window stickers when needed, and for placing window stickers in all Pre-Delivery Inspected/ Detailed Units
- Receive and send couriers.
- Maintain the cleanliness of the showroom, customer lounge, and reception desk areas.
- Replenish and tidy coffee machine and area as needed.
- Maintain the showroom, decorations, and holiday hour postings.
- Use MS Office to create spreadsheets, transcribe correspondence, memos, short reports, and other documents as needed.
- Assist the Sales Associate as needed
- Other duties as assigned by management.
Skills & Qualifications:
- Post-secondary administrative training or equivalent practical experience
- 2 years of experience in a customer service setting and/or similar role.
- Exceptional customer service skills
- Proficient with MS Office (Outlook, Word, and Excel)
- Ability to work independently.
- Demonstrated team player capable of interacting professionally with staff, distributors, and customers.
- High attention to detail
- Excellent organizational skills with the ability to multitask.
- Excellent communication skills to converse with a diverse clientele.
Work Environment:
Our hours of operations are below. The hours and days of work are dependent on your role with a 40-hour workweek for full-time employment.
- 8:30 am to 5:30 pm Monday to Friday
- 9:00 am to 5:00 pm Saturday
