Responsibilities and Duties
- Greets clients and visitors of the firm in a friendly and professional manner, attending to requests as required;
- Answer and field incoming phone calls to the appropriate party
- Maintains the professional presentation of the Reception desk and area;
- Maintains a high level of confidentiality;
- Maintains security by following appropriate procedures;
- Facilitates court runner services based on restricted time frames;
- Organizes and manages incoming and outgoing couriers according to time frames and priority;
- Receives, sorts and stamps incoming mail on a daily basis
- Maintains detailed records to track incoming deliveries, vendor correspondence, and various sign out sheets
- Reviews invoices to ensure accuracy and submits to finance weekly
- Manages and maintains boardrooms including scheduling bookings, arranging conference calls and videoconferencing;
- Co-ordinates office tasks with Office Services and assists as required;
- Arranges standard IT meeting room setup;
- Provides administrative support such as opening and closing files, timesheet entries; dictation, and scheduling appointments;
- Maintains and updates the Reception Operating Manual as required;
- Updates law library books weekly; and
- Ensures COVID-19 protocols are followed in the reception/boardroom areas including sanitization;
Qualifications and Skills
- Minimum of 1-3 years’ experience in a professional environment;
- Experience handling busy Reception area with strong multi-tasking skills is ideal;
- Basic to Intermediate skills in MS Word, Excel, and Outlook (2010);
- Dedicated to providing quality service to clients and consistently meet expectations by providing service beyond expectation;
- Excellent communication (written & verbal) and interpersonal skills with the ability to listen effectively, respond appropriately, and maintain a mutual comfort level while relating to a diverse group of individuals;
- Strong ability to manage multiple internal clients and remain productive within a time-sensitive and fast-paced environment;
- Excellent organizational and time management abilities required;
- Proven problem-solving skills with the ability to visualize and deliver creative solutions;
- Ability to establish and maintain priorities and ability to work in a team environment
- Strong attention to detail while proceeding with objectives under minimal supervision.
