Job Description
The position will assist with administrative duties, support day-to-day operations, customer service, sales and marketing, and project management. An experienced individual who can thrive in a growing, fast-paced, creative environment. The position also contributes to a “continual improvement process” to improve products, services, or processes.
Duties and responsibilities
Office Administration
- Carries out administrative duties such as filing, typing, copying, binding, and scanning;
- Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations;
- Ensures continual operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques;
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders from suppliers for office supplies;
- Manages and records internal inventory items for resale;
- Manages the pickup of mail and packages from the post office, couriers, etc.;
- Track, receive, manage, inspect and organize packages and shipments that come into the office;
- Pick up office supplies, products and other materials as needed;
- Supports the team by performing tasks related to organization;
- Contributes to team effort by accomplishing related results as needed; and
- Takes notes during office meetings, enters tasks into internal Task management program.
Customer Service
- Answers phone calls, schedules meetings, manages calendar and supports visitors;
- Provides information by answering questions and requests;
- Assists with answers and follows up with potential clients and schedules consultations; and
- Exhibits polite and professional communication via phone, e-mail, and mail.
Project Management
- Creates project binders for new projects;
- Orders and send out purchase orders for approved items;
- Assists in the entering of information for proposals into Design Docs and creates proposals for management review;
- Continuously learns and upgrades in appropriate software capabilities through training, webinars, etc.;
- Collaborates and communicates effectively, efficiently and effortlessly with project team, trades, suppliers and clients directly;
- Tracks deliveries through project installation;
- Provides exceptional client servicing ensuring clients’ needs are met as project evolve;
- Creates and maintains comprehensive project documentation, plans and reports;
- Represents the ACM Designs brand through polished communication, personal appearance and professionalism;
- Maintains a strong interest in the design industry; and
- Takes initiative and is eager to learn and contribute to the projects and the team.

Qualifications
- Equivalent experience, post-secondary education is an asset
- Administrative assistant experience
- Knowledge of appropriate software including: Apple, Notes, Pages
- Valid driver’s license, clean driving record and current automobile insurance
Job Types: Full-time, Permanent
Salary: $20.00-$22.00 per hour
