Goals and Outcomes:
The Executive Administrative Assistant will provide high level administrative support to the executive team in the area of executive administrative support, internal and external meetings management, event and project management, and monitoring administrative projects.Essential Functions:
- Work on special projects.
- Conduct research, compile data, and prepare papers for consideration and presentation
- Manage and maintain executives' schedules.
- Answer phone calls and direct calls to appropriate parties or take messages.
- Prepare responses to correspondence containing routine inquiries.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Perform general office duties, such as filing, ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
- Provide clerical support to other departments.
- Attend meetings to record minutes.
Education:- At a minimum High School Diploma or equivalent.
Experience:- 2-3 years experience in a dynamic work environment.
- Previous experience providing executive or high level admin support.
Knowledge, Skills & Abilities:- Extensive knowledge of Microsoft Office applications. Demonstrated knowledge of computer software applications, such as desktop publishing, project management, spreadsheets, and database management.
- Knowledge of accounting principles considered an asset.
- Ability to manage multiple tasks/projects and deadlines simultaneously and to identify and resolve exceptions and to interpret data.
- Excellent interpersonal, communication, and organizational skills.
- Excellent social skills, project coordination experience and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
