About the position
Imagia Canexia Health is currently on the lookout for an experienced Administrative and Executive Assistant.
Imagia Canexia Health is currently seeking an Executive/Administration Assistant. The candidate will be reporting to the Executive Assistant, you will lead the administrative function of Vancouver offices and support executives in the West Coast.
This is a full-time position based in our Vancouver office.
To be eligible for this position, candidates must be legally entitled to work in Canada.
What you’ll be accountable for :
As a member of our team, you will take care of all administrative tasks related to :
Executive Support (60%)
- Manage executives' schedules, including arranging appointments, coordinating travel, and organizing meetings.
- Assist in planning and coordinating meetings, conferences, and events, ensuring all necessary materials and logistics are in place.
- Conduct research, collect and analyze data, and prepare reports or presentations to support executives in decision-making.
- Handle sensitive and confidential information with utmost discretion, maintaining a high level of confidentiality.
- Assist in preparing and editing various documents, including correspondence, communications, presentations, and reports.
- Anticipate executives' needs and take proactive measures to support their work effectively.
Office coordination, Vancouver premises (40%)
- See to procurement of stationery, snacks, etc.
- Maintenance of photocopier
- Management of office security (key inventory, alarm system coding, parking spots)
- Liaise with property management to assure proper maintenance, tidiness and safety
- Management of petty cash
- IT matters and needs: act as a liaison for the Vancouver sites, with our Montreal-based IT resources

About you
The person our team is looking to welcome
The preferred candidate generally holds a college or undergraduate degree. Any equivalent combination of education and experience could also be considered.
Requirements :
- Education: college or undergraduate degree
- Experience: 3+ years
- Proven experience as an Executive Assistant or similar role supporting senior executives.
- Proficiency in using productivity tools such as Microsoft Office Suite and calendar management software.
- Ability to thrive in a fast-paced environment and work well under pressure
- A people person and a team player
- A pragmatic, self-driven and dynamic collaborator with strong organizational skills, attention to detail and a sense of cost effectiveness
- Able to travel between Vancouver offices (Kitsilano and UBC)
