Position: Mamow Health Administrative Assistant
Reporting to: Executive Director
Location: Thunder Bay or Sioux Lookout – Offices
Job Type: Term job August 14, 2023 to March 31, 2024
Possible extension to full-time or continuous employment
POSITION OVERVIEW
Reporting to the Executive Director, the Administrative Assistant will provide administrative support for the Mamow Health programs, board and staff.
ROLES AND RESPONSIBILITIES
- Scanning, filing and data entry
- Ensuring phone inquiries are taken care of in a timely manner.
- Co-ordinating and documenting meeting minutes with internal staff, IFNA and stake holders.
- Support proposal submission process with review, edits and constructive feedback
- Support funding reports submissions and
- Updating community nursing stations of any changes.
- Provide administrative support to communities, Medical Office Assistants and Travel/Scheduling.
- Ensure document guidelines are being followed when handling medical information.
- Maintain the highest standards in the areas of: professionalism, ethics and patient confidentiality.
- Experience and understanding in providing culturally relevant and competent care with Indigenous peoples.
- Participate in on-going training and professional development
- Other duties as assigned by the Executive Director
POSITION REQUIREMENTS
- Completion of secondary school would be an asset
- Experience working in administration
- Strong written and verbal communication
- Ability to multi-task and problem solve
- The ability to speak Ojibwe, Oji/Cree would be considered an asset
- Ability to use MS Office including Word, Excel and Outlook
- Ability to adapt readily to stressful situations and to meet tight deadlines
- Ability to problem solve and work independently.
- Strong interpersonal skills, including excellent listening skills
Additional Requirements
- Successful candidate must be fully vaccinated against Covid-19
- Successful candidate must provide a clear criminal records check, including Vulnerable Sector Search, and Child Abuse Registry.
- It will be an asset if the successful candidate has a valid driver’s license, and clear abstract, to help with errands for the program.
- Ability to speak one or more local dialects from within IFNA communities considered asset.
