LaPrairie Group of Companies is looking for an Administrative Assistant & Receptionist to join its Calgary Team.
The Administrative Assistant & Receptionist is responsible for a wide variety of administrative duties including coordinating every-day office activities, providing support to administration and communications while assisting with company social media posting and content creation as directed. This is an excellent opportunity for new graduates looking to develop their administration skill-set.
This role requires a motivated mind-set and an ability to manage multiple tasks and projects at once with limited supervision. We are looking for a self-starter who is eager to train and learn new skills. Candidates with a background in communications and administration are preferred. Please note, this is an in-office position. Work-from-home arrangements are not being offered at this time.
Job Responsibilities
Reception Duties
- Receive, screen, and redirect incoming calls and inquiries to the appropriate individuals, departments, locations, or company. Take and send messages as required.
- Receive, sort, and deliver incoming mail and packages.
- Coordinate the shipment of domestic and international packages and mail using a variety of shipping services.
- Review and update documentation in a timely manner as required.
- Collaborate with multiple LaPrairie team members and departments on special projects as required.
- Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensuring required items are there (appropriate presentation equipment, catering etc.).
- Maintain a high level of confidentiality in all interactions.
- Present a positive and professional image.
- Other administrative tasks as directed.
Communications Duties
- Draft, format, and edit company communications including memos, letters etc., for approval.
- Review documentation, reports, manuals and memos for correct formatting, content, grammar, spelling and make edits as required.
- Create, post (with approval), and monitor social media postings on a variety of online platforms (LinkedIn, Facebook, Twitter etc.).
- Create and post basic company communications postings on LaPrairie’s company intranet.
- Create graphics and social media content for approval.
- Use a social media scheduling software to plan content in advance.
- Assist with the implementation and monitoring of advertising campaigns.
Requirements
- Post-secondary degree, diploma or designation relating to Communications, Business, Business Administration, or another related field.
- Independent worker with superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision.
- Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
- Willingness to train and learn new procedures, software and polices.
- Excellent writing skills, including proper spelling, grammar, and punctuation.
- High level of sound and independent judgment, reasoning, and discretion.
- Knowledge of Adobe design products is an asset (Illustrator & InDesign).
