THE OPPORTUNITY
As part of the Program Administrative team, this full-time year-round role provides direct support to the Manager, Programming Development. This is the perfect role for a master multi-tasker with excellent organization and communication skills and an upbeat attitude. This role will provide member-focused professional assistance via phone, mail and email. By handling a variety of tasks, this role will ensure all interactions are positive and productive.
DUTIES AND RESPONSIBILITIES
- Build and maintain relationships with members, guests, and other employees in a friendly, courteous, and co-operative manner while maintaining a positive and helpful attitude.
- Represent Osler Bluff Ski Club to external Clubs and individuals.
- Work collaboratively with Programs team.
- Provide administrative support for Manager, Programming Development.
- Provide actuate information to coaches, instructors, athletes and parents as required.
- Maintain documents related to race/snow programs such as registrations, entries, records, results and other relevant data.
- General office duties include answering phones, support programs, coordinating office upkeep, etc.
- Schedule meetings and interact with members and staff.
- Support with the coordination, preparation of Program Committee meetings.
- Maintain, update and distribute the annual “Program Guide”.
- Assist in budget preparation and updates.
- Key contact for IT and phone system support
QUALIFICATIONS
- Minimum of five (5) years of experience in an executive administrative role preferably in a member-based club or hospitality setting.
- Experience as administrative support to senior management would be an asset.
- Successful completion of a College Diploma in Business Administration or related field would be preferred.
- Advanced proficiency is required in the use of MS Word, Excel, PowerPoint, and MS Outlook. Experience with JONAS would be an asset.
- Ability to perform and communicate in a highly professional and effective manner in a fast-paced environment.
- High level of critical and logical thinking, analysis and/or reasoning.
- Strong time management skills.
- Proven ability to work to tight deadlines with strong judgement and decision-making abilities.
- Detail oriented with excellent proofreading skills.
- Perform all tasks safely in accordance with health and safety policies.
- Flexible, adaptable, and able to execute a range of job duties and changing priorities.
- Possess excellent written communication skills.
- Experience dealing with IT systems (Teams, database software, etc.)
- Possess professional maturity and impeccable integrity.
