POSITION SUMMARY:
Provides administrative support to the day-to-day operations of the Outpatient Department. All patient related details and department activities are coordinated to ensure the smooth operation of the unit and adherence to the policies and procedures of the hospital.
QUALIFICATIONS:
- 2 year post-secondary diploma in medical office administration from an accredited school is required.
- Medical terminology certificate required.
- Minimum of two-years experience providing administrative support in a hospital setting is required.
- Basic skill level is required for MS Word and Excel.
- Basic skill level is required for spelling, medical spelling and medical terminology.
- Basic skill level is required for typing speed.
- Clerical testing may be required as part of the selection process.
- Current work experience in a hospital setting with patient registration and booking software. Epic software experience preferred.
- Applicants must have demonstrated an ability to accept responsibility, plan, prioritize and complete tasks with minimal supervision. Must be able to perform effectively both independently and as a team member.
- A major component of the position is the ability to function calmly and efficiently in a friendly manner, completing multiple tasks and providing customer service. Effective, tactful and confidential communication in person and on the telephone is essential.
- Must demonstrate a professional attitude and behaviour.
- Must have excellent organizational, analytical and problem-solving skills.
- Must be capable of performing all related duties.
- Good work performance and attendance record is essential.
RESPONSIBILITIES:
- Registers patients for Outpatient procedures, ensuring that all pertinent patient data and procedure information is entered into the patient information system accurately and efficiently. Prepares daily patient logs.
- Schedules Outpatient appointments from various sources, i.e. OR, which are collected several times a day, confirming appointment details with patient or physician's office, booking or ordering any required or follow-up tests/procedures accordingly.
- Performs reception duties and triages incoming calls, answering immediate concerns and referring other calls as required.
- Ensures all filing, charting and appointment sheets are up to date for clinic activities.
- Provides clerical support and sorts/distribute mail, faxes and e-mails.
- Completes weekly unit statistics, monthly census reports and staffing logs.
- Ensures all supplies required by the unit are adequately stocked and re-ordered in a timely manner.
- Ensures station and work area is maintained in an organized and presentable way at all times.
- Obligation to review and commit to applicable departmental and hospital policies and procedures.
- Assists with other unit activities as delegated by the Manager and/or Supervisor.

Monday to Friday; days
WAGE RATE
Hourly: $27.21.... $28.41.... $29.57 (plus 14% in lieu of benefits)
