Track One Project Management Inc. provides Construction Management and Project Management services to owners of Hospitality and Commercial Real Estate Projects. Currently, we are working on multiple new build, multi-storey hotels and other commercial projects . Our Clients appreciate the focus and personal attention we offer them and have come to rely on our expertise and experience to support them in their business needs.
We are currently seeking an Office Administrative Assistant with a minimum of 2 years experience in a similar role, ideally with construction companies. Prior experience in book keeping would be desirable.
The ideal candidate would be a self-starter, motivated and willing to learn and grow with the organization. We are looking for an honest and trust-worthy individual who understands the importance of confidentiality. The candidate shall be a good communicator and shall have both good oral and written communication skills. Ability to multi-task, prioritize are important requirements for this role as well as very good organization skills.
Responsibilities :
- Maintaining project and other filing structure
- Maintain vendor contact lists and prequalification documentation
- Prepare purchase orders to vendors
- Administer and collect all WSIBs, statutory declarations and certificates of insurance from vendors
- Prepare a maintain tracking logs in excel for payments made to different vendors project wise
- Assist accountant with bookkeeping tasks using Quick Books Online. Prior experience with QBO would be an asset. On the job training on QBO will be considered for a successful candidate who is otherwise well suited for this role
- Maintain database of equipment and material on projects
- Receive and process expense claims from employees
- Assist company accountant with monthly draw reports and keeping track of invoices from vendors. Would be required to work on company's project management software
- Accounts payable duties
- Assist the President with marketing, scheduling and other work related functions
- Other duties as required.
Experience and Skills:
- Excellent command over English, both written and spoken with strong business communication skills
- Should be an excellent team player who is able to work as part of a group as well as independently.
- Quickbooks (1 year experience)
- Accounting (working knowledge)
- Construction company environment (Required)
- Strong Excel, Word, Power Point
- Ability to quickly grasp new software
- Multi-tasking, paperwork, communication, organization.
Job Types: Full-time, Permanent
Salary: $17.00-$19.00 per hour
