Duties and Responsibilities
- Greeting visitors, checking them in and out.
- Keeping the office tidy on a daily basis.
- Keeping snacks, coffee, and printers fully stocked throughout the day.
- Performing clerical and administrative duties for the office.
- Handling incoming/outgoing mail.
- Arranging travel and accommodations.
- Maintaining calendars.
- Booking and preparing meeting rooms.
- Managing office supplies stock and placing orders.
- Managing contract and price negotiations with office vendors and service providers.
- Managing general and administrative office budgets, ensuring accurate and timely reporting.
- Maintaining the office condition and arranging necessary repairs.
- Coordinating with the IT department regarding office equipment.
- Assisting in the recruitment process by scheduling interviews.
- Assisting the HR department in the onboarding process for new hires.
- Planning in-house or off-site activities, such as events, parties, celebrations, and conferences.
- Other reasonable duties as may be required from time to time.
Qualifications and Skills
- 3+ years of office administration experience.
- Ability to work in a fast-paced environment, maintaining strong organization and prioritization of tasks.
- Professional appearance and behavior, and a positive outlook.
- Clear and concise verbal and written communication to convey substance/intent.
- Ability to report in a timely and accurate manner.
- Relationship building - initiate contact readily and devote time to maintaining relationships.
- Team Player - be team-oriented, share resources, assist others.
- Strong computer and technology skills and established experience with productivity software.
- Bachelor’s Degree from an accredited institution.
