The Role
The Administrative Manager will work closely with the CAO to liaise with internal/external departments to offer efficient and optimal administrative support to meet the business's requirements. This role will manage the Office Coordinators and ensure exemplary day-to-day administrative support for More Than Just Feed.
Primary Roles and Responsibilities
- Lead, manage and be accountable for team health and growth
- Champion team cohesion and engagement; anticipate and identify training, motivation, and coaching requirements to support and enhance individual and team health
- Cascade and integrate company communications, processes, and guidelines among your team
- Optimize team staffing levels and routinely review roles and accountabilities to drive continuous improvement of people and processes
- Company-wide travel program management and coordination
- Foster a cross-functional team approach by breaking down silos and encouraging open and honest interdepartmental communication
- Work with CAO to support C-Suite Executive Administrative support requirements
- Work with CAO to execute day-to-day administrative functions company-wide
- Recruit, hire, orient, and train new administrative employees; fill in as necessary for absent administrative employees
- Plan and coordinate efficient administrative procedures and systems
- Prepares special reports as required, gathers necessary information, and summarizes data and findings. Oversee maintenance of departmental files, including correspondence, minutes, contracts, and projects
- Ensures safe, secure, and well-maintained offices that meet environmental, health, and security standards
- Oversee the purchase of supplies, equipment, and forms, and approve invoices for all locations
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
- Prepare, compose, and initiate various documents, often confidential. These include letters, correspondence, memorandums, agendas, reports, minutes, quotations, notices, postings, tables, forms, spreadsheets, and presentation material choosing the appropriate means of communication, including the preparation of materials for More Than Just Feed
- Interact with other department heads in managing administrative operations
- Develop logistics in organizing records, files, and statements in an effective manner
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
- Oversee inventory of office supplies and the purchasing of new material with attention to budgetary constraints
- Oversee office services, maintenance activities, and tradespersons
- Oversee office activities (recycling, renovations, event planning, etc.)
- Keep abreast with all organizational changes and business developments that will impact the administrative functions
- Temporary Office Coordinator responsibilities (Strathmore) for one-year maternity leave (beginning October 2023).
Skills & Experience Required
- Demonstrated aptitude to prioritize tasks based on comparative importance and urgency
- Sensitivity to confidential matters required
- Demonstrated enthusiasm for continuous learning relevant to the role
- Exemplary organizational and planning skills are essential to succeed
- Experience with social media, such as Facebook, Twitter, and YouTube
- Desire to take on new challenges
- Strong ability to stay focused
- Exercise professional judgment and always maintain confidentiality
- Attention to detail with a high degree of accuracy
- Flexible response to changing tasks and timelines
- Excellent written, verbal, and interpersonal communication skills
- Demonstrated mastery of spelling, grammar, and computer literacy

Qualifications include
- A minimum of 3-5 years in a similar role
- 2-3 Years' experience managing a team
- A bachelor's degree or diploma in Business Administration is an asset
- Ability to set and meet deadlines and work collaboratively in a fast-paced, growth environment
- Advanced level computer skills in MS Office Suite
