Data Entry / Administrative Clerk – Construction – HVAC
Hours: Full Time
Required Years of Experience: 2
This position will be responsible for providing data entry/accounts receivable assistance to the Accounting Team. You will be responsible for accurately entering information into the accounting database, and creating reports.
Responsibilities (not limited to):
· Provide professional administrative assistance to the Accounting Team
· Assist Accounting Team with daily duties
· Manage communications through the organization and the customer
· Build positive relations with internal and external customers
· Prepare and distribute reports as required
· Review service reports, input data, and generate invoices
· Follow up with collection of invoices
· Attending and participating in meetings
· Serve customer needs by addressing inquiries as required
· Act as the liaison between internal teams
· Organizing files and collecting data to be entered into the computer
· Analyzing the data for errors, and reporting any issues to superiors
· Accurately entering information into various computer programs
· Keeping sensitive customer or company information confidential
· Familiarity with accounting principles
Qualifications:
· Post Secondary education in accounting/administration or related trade certificate
· Minimum 2 years’ experience working in service/construction industries servicing industrial, commercial, residential, institutional customers in an accounts receivable capacity.
· Proven ability to work well with multi-disciplinary team
· Outstanding verbal and written communication skills
· Competency in Microsoft applications, including Word, Excel, and Outlook
· Experience with JONAS software an asset
· Ability to work within stringent timelines
· Familiar with terminology used in the HVAC/Plumbing industries an asset
· Must be extremely detail-oriented with respect to documentation and communication.
· Strong communication skills.
· Proven ability to maintain confidentiality
· Ability to handle multiple tasks at one time and still produce high quality results.
· Ability to work independently and under stress, to meet deadlines and perform effectively in emergency situations.
