Under the direction of the Branch Director, the position exercises the autonomy, tact, diplomacy and discretion required to handle sensitive and confidential information the Director’s Office is privy to.The position provides general administrative support to the Director and actively contributes to the continuous improvement of administrative procedures in order to ensure the expediency, quality and efficiency of services delivered by the Director’s Office.- The position requires general administrative and secretarial knowledge and ability associated with successful completion of business and/or secretarial training, or equivalent, normally acquired through several years of experience in providing secretarial and administrative services relevant to the duties of the position.
- The position requires post-secondary education in a relevant field and/or equivalent relevant experience.
- The position requires 3 to 5 years prior related experience with administrative processes and procedures.
- Prior experience working with labour or political organization would be an asset for this position.
- The position requires knowledge of bookkeeping skills required to perform tasks such as account reconciliations (e.g. bank reconciliations), to record financial transactions, and prepare basic balance, income statements.
- The position requires advanced software skills, including to use Windows, email, spreadsheets (ideally Excel), word processing and database software and other systems used by the Branch staff.
- The position requires knowledge of the trade union role, objectives and activities as well as a commitment to union and equity principles and some familiarity with government organizations, practices and procedures.
- The position requires the ability to operate office equipment.
- The position requires the ability to coordinate special events, organize, plan and determine personal work priorities.
- The position requires strong interpersonal skills and the ability to work in a team environment, cooperatively with others.
- The position requires the ability to safeguard political, confidential or sensitive information.
- Second language skills as per the Common European Framework of Reference for Languages (CEFR) level indicated above.
- The position requires strong written and oral communication skills.
- The position requires advanced grammar, proofreading, editing and formatting skills.
- The position requires to demonstrate sound initiative, judgment and problem solving.
