The opportunity
The Executive Assistant to the CEO plays a pivotal role in managing the efficient and effective office of the Chief Executive Officer. This role provides consistently strong Executive Level support as the primary liaison for a wide variety of internal and external stakeholders on a diverse range of matters. The Executive Assistant optimizes and enhances the productivity of the Chief Executive Officer by providing seamless administrative support. Through championing the organization’s spirit and brand, this position provides a high level of service and support to all internal and external customers.
Responsibilities:
- Provide a bridge for smooth interaction between the Chief Executive Officer and the company’s stakeholders by managing the CEO’s professional and personal calendar for optimal efficiency;
- Screen, respond to and redirect Chief Executive Officer’s mail and email, as appropriate; follow-up on deadlines and commitments to ensure all business items are appropriately executed; and support CEO on escalated customer service or employee issues as needed;
- Plan and execute on assigned budgets by the Chief Executive Officer;
- Assist in planning and executing events, such as Lunch & Learns, Town Halls, as well as external conferences;
- Book and confirm all travel and hotel arrangements for the Chief Executive Officer, prepare itineraries and store documents accordingly;
- Act as a barometer for the Chief Executive Officer for relevant issues taking place on the team and in the organization by sharing relevant feedback;
- Challenge the status quo by consistently identifying areas for improvement, diagnosing issues and working to resolve them.
Qualifications
Qualifications:
- 7 to 10 years of experience as an Executive Assistant (with a minimum of three years supporting C-level executives ideally a CEO of a publicly traded company);
- College or University degree;
- Bilingual (French and English) to communicate with employees across Canada and external stakeholders;
- Demonstrated ability to prioritize multiple tasks, high attention to detail, and get things done quickly with limited direction;
- Problem-solving abilities; able to exercise independent judgment and make good decisions;
- Strong customer service orientation and ability to build strong relationships;
- Technologically savvy ; advanced knowledge and proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook) and an aptitude to learn new programs;
- Ability to handle confidential and sensitive materials;
- Be available to come into the office up to 4 days a week, as required.
