Position DetailsThis position reports to the Vice-President (Finance & Administration) and the Associate Vice-President (Finance).
The incumbent performs diverse and complex administrative duties of a very confidential nature. This includes:
- Investigating information for the VP and AVP
- Working on assigned projects
- Scheduling appointments
- Filtering requests for calls and/or meetings with the VP and AVP
- Making travel arrangements
- Compiling agendas and taking committee minutes
- Managing deadlines
- Drafting day-to-day correspondence
- Submitting expense claims
- Coordination/co-operation with President’s, Vice-Presidents’, Deans’, and Executive Directors’ offices
- Maintaining professional relationships at all levels both internal and external on a daily basis.
The incumbent also provides administrative support to Director, Resource Planning and the Financial Planning office, including travel arrangements, and preparation of correspondence.
The incumbent ensures that the support activities necessary for the Vice-President (Finance & Administration) and the Associate Vice-President (Finance) are provided with minimal supervision. This requires independent judgment and knowledge of related operations across the University. This also requires an understanding of the VP’s and AVP’s activities to understand and anticipate the administrative assistance that may be required to complement their activities.
Position QualificationsIdeally the incumbent will have a business administration diploma or degree, with 4 to 7 years experience in a similar position or related experience.

- The ability to maintain confidentiality and handle sensitive material
- Strong communication skills
- Attention to detail
- The ability to prioritize and manage multiple projects and tasks at once
- The ability to work well with people at all levels of the institution and with external contacts
- High degree of competency with software such as MS Office and the enterprise resource system
- Experience in a post-secondary setting is a definite asset
Starting Salary Range (at 1.0 FTE) $4,856.25 - $5,395.08 monthly
Full Salary Range (at 1.0 FTE) $4,856.25 - $5,933.90 monthly (ESS - Grade 10)
