The posting closes at 12:01am on the morning of the closing date***Reporting to the Business Manager, Information Technology Services, the incumbent is responsible for providing the day-to-day bookkeeping, accounting, and financial support to the Information Technology Services (ITS) department.The incumbent maintains financial records of purchases and payments, verifies all of the payment and expense reports to ensure the accuracy of the expenses. The incumbent ensures that procurement processes are followed as per Algonquin College policies & procedures and the College’s Procurement department. The incumbent reviews all documents for approval such as memos summarizing the intent of purchasing that may require multiple signing authorities and makes sure that any other relevant documents such as the contracts are included with the memo. The incumbent maintains and monitors spending against budget, signatures are present on contracts, purchase orders, and requisition memos. Monitors software licenses, hardware maintenance contracts, and Contractor renewals and submits reminders to managers on a monthly basis. The incumbent prepares any necessary journal entries for accruals, corrections, and other adjustments. The incumbent will assist in the preparation of any required financial reports or analysis. Preparation of budget monitoring documents used in quarterly reviews and monthly management meeting updates as well as reports to Financial Services. The incumbent assists in updating Adaptive Insights with quarterly review data provided by the Senior Financial Analyst and/or Business Manager.The incumbent will receive instruction from the Business Manager and the Senior Financial Analyst, ITS, on how financial information should be captured and processed within ITS in addition to known financial policies within the College.The incumbent processes credit card expense reports by ensuring that required back-up documentation is attached and verifies that the expense request corresponds with the required invoices.The incumbent processes employee expense reports, travel and advance authorizations and travel claims by ensuring required approvals and back up documentation is attached.The incumbent acts as back up for all phases of part-time payroll processing.Required Qualifications
- Three (3) year Business-Accounting Diploma/Degree or equivalent;
- Minimum three (3) years experience is required in a budgetary/finance related position, with increasing responsibilities in areas where accounting, bookkeeping, analytical requirements, procurement, administrative, and interpersonal skills must be utilized;
- Must be self-motivated, organized, client-oriented, must be able to work under pressure and demonstrate maturity, discretion and sensitivity;
- Must have direct client service experience;
- Working knowledge of Microsoft Word, Excel and Outlook at the intermediate level;
- Experience in using a Finance and Accounting systems (e.g. PeopleSoft, Workday, SAP, Great Plains, or others);
- Must possess a sound understanding of accounting principles and have demonstrated problem-solving skills to resolve account discrepancies.
