ABOUT THE ROLE
Reporting to the Director, Human Resources with a dotted-line relationship to the HR Generalist. The Bilingual HR Administrator provides employees relations, reporting and Human Resources Information System (HRIS) administration support to a specified region of the operations team.
Duties and Responsibilities
Human Resources Information System (HRIS) Administration Support:
- Maintain the Dayforce HRIS system with all employee changes (new hires, terminations, promotions, leave of absences, wage increases, employee status changes, etc.)
- Enter all employee benefits related information on Industrial Alliance system
- Liaise with frontline employees to obtain proper documentation for entry into the system and for audit purposes
Human Resources:
- Assist and support onboarding process including orientation, new hire paperwork sign-off, new hire announcements, assignment of HR downloads training
- Employee Relations: support the HR Generalists in the production of employment verification letters, offer letters, confirmation of verbal resignation letters, job abandonment letters.
- Recruitment: Provide support and serve as a backup for the HR Generalist with recruitment and onboarding related tasks for all client groups.
- Administration: Support HR Generalists) with the maintenance of internal lists including organizational chart, seating plan, reports and tracking documentation (i.e. Recruitment, Performance Management, Investigations)
- Talent Management – support annual performance management process including distribution and collection of documents and data collection.
- Support the HR Generalist in workplace investigations, as required.
- Oversight of the time and attendance function for the Human Resources and Payroll groups
- Maintain employee files (electronic and physical) and support departmental document management activities Support various HR projects as required (policy development, training, program delivery)
- Provide back-up support to co-workers and team members, as required
- Support the Company in ensuring required governance and compliance measures are met Promotes and works to maintain workplace wellness, health and safety, through active compliance with all workplace health and safety policies and procedures
- Provide backup support for Reception coverage as required
- Other duties and projects as required
Education & Skills
- 2-3 years’ relevant experience HR and/or administrative experience
- 1-2 years’ experience working in an HR function
- Post-secondary education in Human Resources or related field (working towards CHRP designation is preferred)
- Bilingual (English/French) is required
- Strong integrity, ability to maintain confidentiality and manage highly sensitive information
- Experience in full-cycle HR departments for medium/large organizations is preferred
- Ability to work efficiently and multi-task in a fast-paced, dynamic environment
- Strong attention to detail and accuracy is crucial
- Ability to follow through with all assignments from start to finish with minimal supervision
- Strong organizational skills with the ability to prioritize and organize work
- Well-developed communication skills (written, spoken and presentations)
- Knowledge of Microsoft Office Suite, Adobe, Dayforce and Visio
