Job Summary:
The Payroll and Human Resources Administrator will be responsible for all aspects of payroll functions to ensure timely and accurate processing of payroll for the Hayward Gordon / Ebara Group (Canada and US) on a biweekly and semi-monthly basis. Interpreting and applying company policies, procedures and applicable laws, rules, and regulations and ensuring compliance within these areas. This role has direct responsibility for payroll and benefits and requires frequent interactions with all levels within the organization and with external parties such as ADP, group health insurance, pension providers and government agencies.
Responsibilities and Duties:
Payroll Administration:
- Prepare and process accurate and timely payroll for all employees using the company's payroll system.
- Generate bi-weekly and semi-monthly pension / 401K contribution reports for submission to provider.
- Ensure all payroll records, such as timesheets, leave records, and overtime, are accurately maintained and updated.
- Review and verify payroll data for accuracy, including deductions, overtime, and bonuses.
- Manage in-house timekeeping system Shopclock.
- Prepare and process journal entries with each payroll as well as prepare and enter month end journal entries.
- Respond to payroll-related inquiries from employees and resolve any discrepancies or issues in a timely manner.
- Coordinate with the finance department to ensure timely and accurate payment of taxes, and other payroll-related expenses.
- Stay up-to-date with relevant payroll laws, regulations, and best practices to ensure compliance.
Human Resource Support:
- Assist with various human resource functions, including employee onboarding, orientation, and offboarding processes.
- Maintain accurate and up-to-date employee records, including personal information, employment contracts, and benefits enrollment.
- Process employee changes, such as promotions, transfers, and terminations, and update relevant records and systems accordingly.
- Support the recruitment and selection process by assisting in posting job advertisements, screening resumes, and scheduling interviews.
- Coordinate employee benefits programs and facilitate communication between employees and benefits providers.
- Manage STD, LTD and RTW programs.
- Assist in organizing employee training sessions, workshops, and other HR-related events.
Compliance and Reporting:
- Ensure compliance with federal, provincial, state, and local employment laws and regulations.
- Prepare and submit various government reports, such as payroll tax filings, WSIB, and other required documentation.
- Maintain confidentiality of employee information and handle sensitive data in compliance with privacy laws and regulations.
- Participate in the development and implementation of HR policies and procedures.

- Requires daily communication with multiple departments to insure maximum efficiency.
- College diploma and courses leading to or completion of PCP (Payroll Compliance Practitioner) or equivalent combination of education and experience.
- Strong working knowledge of Payroll Legislation in multiple jurisdictions (Canada and US) experience
- Minimum two to three years of hands-on, progressive payroll experience, including ROE preparation, reconciling T4, W2 and annual government requests.
- Proven experience as a Payroll Administrator or similar role, preferably in a manufacturing environment.
- Sound knowledge of payroll processes, employment legislation, and HR best practices.
- Proficient in using payroll software ADP Workforce Now and Microsoft Office Suite (especially Excel).
- Strong analytical and problem-solving skills with high attention to detail.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Familiarity with HRIS systems and applicant tracking systems is a plus.
