Full-Time Appointment
Reporting to the Director of Service Excellence and supporting various Human Resources and Organizational Development (HROD) functions, the Human Resources Assistant assist with maintaining effective and efficient service delivery; provides information and assistance to the HROD team; ensures compliance with processes, policies, procedures and collective agreements; assist with the creation and distribution of various correspondence to internal and external stakeholders.
Responsibilities include:
Non-Faculty Recruitment and Selection
- Assists with the preparation and coordination of recruitment documents including offers of employment, the new employee onboarding process and follow-up communications.
Record and Data Management
- Maintains and tracks various HR processes, including but not limited to, employment changes, leave of absences, recruitment, etc.
- Maintains records, filing systems, personnel files, and data for unionized and non-unionized processes and employees.
- Prepares and submits documentation in collaboration with the HR Advisors and the office of Budget and Payroll.
- Assists in finalizing presentations and reports.
- Assists the HR Advisors in the processing of personnel forms and maintaining personnel records to ensure timely and appropriate actions related to the onboarding and off-boarding processes.
- Provides backup support for gathering documentation and creating new employees in various systems.
Other Human Resources Functions
- Provide support for the preparation of reports and information to support HR functions and decision making for administrative matters.
- Provides support to HR Advisors and other HR team members as directed.
- Performs a wide variety of clerical, technical, administrative, and office support, including but not limited to, employment documentation, and client support.
- Drafts a variety of letters and memos and other human resources correspondence and documentation.
- Perform other related duties as required.
- Minimum three-year (3) post-secondary certificate or diploma in a related field such as Human Resources;
- One (1) to three (3) years related experience preferably in a Human Resources capacity;
- Interest in successfully completing the academic requirement for the Certified Human Resources Professional (CHRP) designation is considered an asset;
- Experience working in a post-secondary institution and or in a unionized environment will be considered an asset;
- Knowledge of: Human Rights Code, Employment Standards Act, Health and Safety Act and recruitment best practices;
- Ability to handle sensitive matters with integrity and confidentiality;
- Excellent organizational skills to prioritize workload in a fast-paced environment with changing deadlines and the need to respond quickly to meet departmental/employee needs;
- Ability to work independently and take initiative, as well as perform effectively as a member of a team;
- High level of attention to detail;
- High proficiency in word processing and database software;
- Demonstrated problem solving skills;
- In depth knowledge of Microsoft Office Suite, Google Apps and experience working with integrated management information systems;
- Effective verbal and written communication skills in both French and English is required.
The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
