The Universal Group has an exciting opportunity for a Recruitment Onboarding Coordinator to join our Human Resources department. Reporting to the Talent Manager the Recruitment Onboarding Coordinator partners with the Human Resources and Operations team to drive forward our Recruitment strategy and our purpose of providing Peace of Mind to our clients and our employees.

Who You Are
You will oversee and complete full cycle onboarding and orientation for new hires company wide, as well as work collaboratively with the Recruiters to coordinate and implement effective recruitment strategies.
We are looking for someone who is energetic, enthusiastic, customer service driven with a key eye for detail! This position will start as a 12 month maternity leave coverage, with the potential to move to a permanent position.
The Role
The Recruitment and Onboarding Coordinator is responsible for overseeing and coordinating all aspects of onboarding, from employee paperwork to orientation and training, while providing support and guidance to new employees. This role will contribute to creating a positive and seamless experience for new hires. They will be responsible for administrative duties and maintaining databases as it relates to the recruitment process.
What you will do:
Onboarding
- Onboard new hires in the HRIS system, maintaining accuracy of employee data
- Complete full cycle onboarding process for new hires in BC Region
- Ensure all new hires have finished the appropriate training and paperwork prior to start date
- Welcome new hires upon arrival and provide them with an office tour and presentation
- Prepare onboarding requirements for new employees; swag items, relevant documents, front door access, and parking details as applicable
- Prepare and organize employee swag for recruitment initiatives and onboarding packages
- Continuously work to improve the onboarding process company wide; consulting with HR Business Partners as required
- Promote the Company's reputation as an 'employer of choice'
- Follows up with managers and employees regularly to establish rapport, gauge morale, and source new candidate leads
- Coordinate with various departments and hiring managers to ensure all necessary equipment, access, and resources are ready for new hires on their start date
- Act as a resource for new hires, answering questions, addressing concerns, and providing guidance during the initial onboarding period
Recruitment
- Responsible for sourcing non-union and union employees by using headhunting techniques on various platforms
- Collaborate with the Talent Acquisition team to coordinate and implement effective recruitment strategies
- Assist in screening candidates and sending assessments as necessary
- Ensure all internal promotion employees have completed all required training prior to start date
- Assist with non-union hiring as required
Administrative
- Maintains and updates project management systems (ATS and Monday.com) on behalf of the Talent Acquisition team
- Work closely with Talent Acquisition Team to ensure all processes and administrative functions are being properly followed
- Generate reports and metrics related to onboarding and other recruitment KPI’s
- Administrative support to the Talent Acquisition Team and the HR Business Partner Team
- Additional administrative duties or responsibilities as required
Qualifications
- Experience with Human Resources Information Systems (HRIS) and Applicant Tracking System (ATS).
- Experience with onboarding new hires.
- Experience with recruiting is a plus.
- Excellent computer skills in a Microsoft Windows environment.
- Excellent communication and interpersonal skills
- General knowledge of various employment laws and practices.
- Ability to work with various departments and foster teamwork.
- Ability to maintain the sensitive and highly confidential nature of human resources work.
- Ability to travel up to 25% of time to various locations in BC.
- Must have your own vehicle and valid driver's license.
- Excellent organizational skills.
- Must be able to identify and resolve problems promptly.
- Gather and analyze information skillfully.
- Demonstrate resourcefulness and initiative
