Our team of 700+ staff see clients virtually and physically from our downtown Toronto and Oakville clinics.The Role:Medcan is currently recruiting for a Medical Records Coordinator Team member for the Client Care Centre team in a full-time position. The ideal candidate is an experienced Medical Records professional who possesses excellent written and verbal communication and has an appreciation for attention to detail. Exceptional administrative back-office support to physicians and Client Care Centre team colleagues. The role is well suited to candidates who have demonstrated the ability to thrive in a changing environment and have experience working with multi-disciplinary teams. This role allows for the possibility of work on weekends if the need should arise. The role reports to the Client Care Centre Manager, Medical Records.The Accountabilities:Pull Annual Health Assessment and specialty charts and deliver to the 15th floor clinic prior to appointmentsPull Child and Youth charts and deliver to the 14th and 15th floor clinic prior to appointmentsSearch and locate any missing/misfiled chartsRefile Annual Health Assessment, Child and Youth and specialty charts to the file roomOrder archived Annual Health Assessment and specialty charts for Physician and Client Care Centre inquiresScan CPP and summary metrics into Accuro for physiciansManage incoming faxes and sending tasks to appropriate Client Care Centre team members (prescriptions, MedChecks, APS, Lawyer requests, release of information, release of images and transfer of record requests)Manage incoming laboratory results and send tasks to appropriate Client Care Centre team members (Dynacare, Lifelabs and Public Health)Call facilities to obtain all stat, urgent and routine referred diagnostic test and consultation client resultsScan, categorize and upload transferred records from other facilities from fax, mail, CD or couriered documentsScan and upload miscellaneous documents and consent forms from the clinicSort and distribute incoming mail (including Dynacare, Lifelabs, invoices from mailroom)Manage and task all miscellaneous requests from external facilities through incoming faxes to appropriate Client Care Centre team membersTrain and support coverage for Radiology administrative tasks and requestsManage and task all Medcan referral notifications to the Referral TeamManage and task all external specialty referral notifications to the Referral TeamAttending to record request inquiries from Client Care Centre (calling facilities for urgent results, uploading transfer of urgent records and ordering charts from Iron Mountain)Calling facilities to obtain urgent or stat diagnostic test results and consultation notes from Medcan referrals.Task release of record consents to appropriate Client Care Centre team memberAdditional administrative duties to include Processing Attending Physician Statement Insurance Requests, Lawyer Requests, and all Client Care Centre Release of Record requestsThe Requirements:Minimum 2 years Medical Office experienceHealth Records Diploma and/or Medical Office Administration diplomaExcellent written, verbal and electronic communication skillsProficient in MS word, Excel and OutlookKnowledge of medical terminologyThe position will be hybrid of onsite and remote work requirementThis is a full time position that is from Tuesday to Saturday weekly.Our Benefits:Medcan’s philosophy of Live Well, For Life applies not only to our clients, but also our valued staff members.
