Position Purpose and Summary
The Camp & Game Operations Manager will assist with the planning, organization and implementation of Spartan Complete Champion camps, and will assist with Spartan Athletics game operations, annual and special events, promotions and related administrative duties. This person will also be the TWU Athletics Liaison with the Langley Events Centre (LEC), and will coordinate practice schedules, games, and events for Spartan Athletics at the LEC. They will act as a liaison between TWU and the LEC for TWU events, games, and general inquiries. The ideal candidate will be a creative and enthusiastic person with strong administrative skills and a passion for working with young people and for giving exceptional customer service.
Key Areas of Accountability
- Spartan Camps: Provide assistance and support to the Athletic Event Manager in the planning, organization and implementation of Spartan Sports Camps. Duties include but are not limited to: assisting with recruiting, hiring, training and supervision of camp staff, administrative details, documentation and tracking of attendance, registration and waivers, oversight of registration and daily camp operations and logistics as well as post-camp clean up.
- Game Operations: Work with the Associate Director of Athletics – Operations and Athletic Event Manager on all games hosted by Spartan Athletics. Duties include but are not limited to: assisting with training and game day supervision of student event staff, implementation of game-day deliverables for game sponsors, physical set-up and take-down of game day equipment and signage, game enhancement / in-game promotions, management of gate receipts and deposits, assistance with ticket sales, dealing with risk management issues, customer service, crowd control, and hosting of visiting teams, officials and spectators. Please note that most games happen on weekends and weekend evenings from September to March.
- Promotions: Work with the Associate Director of Athletics and Operations and Athletic Event Manager on the advertising and promotion of Spartan Athletics events with the assistance of student workers. Duties include but are not limited to:
- Display and distribution of marketing/promotional materials and advertisements.
- Establishing and maintaining regular communication with on-campus partners such as RA’s, RD’s, CA’s, Student Life and TWUSA, and maintaining promotional contact list.
- Concession: Assist the Athletic Event Manager with the gym and field concession. Duties include but are not limited to:
- Cleaning, stocking, and tracking inventory for regular and special events.
- Training the event staff and area supervisors in charge of concession during events along with volunteer athletes to ensure quality control and good customer service during all events.
- Annual and Special Events: Provide assistance to the Associate Director of Athletics - Operations with the planning, organization, and implementation of special events hosted by Spartan Athletics such as Orientation Week, the Spartan Spectacular, Athletic Awards Banquet, the Complete Champion Challenge, Academic Celebrations, Fundraiser Golf Tournaments, playoffs and other special and annual events.
- Partner with the LEC staff to ensure practices, games, and events work within the LEC master schedule.
- Communicate and coordinate with LEC staff to ensure there is appropriate space and resources for practice time needed by Spartans teams and ensure this is reflected in the LEC master schedule.
- Ensure that TWU and LEC staff have appropriate notice of when and where games, events, and other activities will take place.
- Ensure that TWU coaches have appropriate notice of when and where their practices will be each week.
- Bring any concerns regarding facilities (e.g. repairs) and TWU team needs to the attention of LEC staff.
- Represent TWU at LEC meetings and in day-to-day business discussions.
- General athletic administrative assistance and office responsibilities
- Assist with first aid and CPR administration, as required.

Skills and Abilities
- Demonstrated skills and knowledge in elite level sport.
- Excellent interpersonal and communication skills.
- Ability to effectively work with students, parents, head coaches, officials, faculty, staff, administration, and members of the media.
- Knowledge of and ability to administer basic first aid measures and summon medical help when required.
- Comfortable using a PC for word processing and data base entries, general office equipment, game score and timing clocks, public address and sound system.
- Familiarity with Statcrew, Genius, Leaguestat, and Presto stat software is considered an asset.
- Understanding of gymnasium and field lighting as well as heating and ventilation systems.
- Ability to enforce and maintain designated safety standards.
- Ability to monitor all facility activities, professionally and accurately respond to incoming phone calls, email and drop-in traffic while providing a high quality of customer service.
- Ability to do some moderate manual labour (moving & setting up equipment etc.).

Standards & Requirements
Education: University undergraduate degree minimum. Minimum 1 year post-secondary, or equivalent work experience will be considered. Current First Aid and CPR certification, experience and knowledge pertaining to sports camp and event management and camp and event facility equipment.
Experience: 1-2 years previous experience in sports camp and athletic event management, as well as scheduling and promotions.
Equipment Used: PC computers and software, telephone, photocopier, score clock, PA and sound system, facility electrical systems and machinery, ticket software, ventilation systems.
