WorkLink Employment Society is recruiting for a WorkBC Operations Supervisor Position - working primarily in our Westshore Office with the flexibility to work in both Sooke and Westshore locations as required. This is a term position with the province for the delivery of WorkBC Services working up to 35 hours per week (Monday to Friday) providing support to team members in all locations (May be required to work some weekends); with a salary range of $34.10 to $35.12 hourly.

WorkLink has provided government-sponsored employment services to the residents of the Victoria Capital Region’s Westshore (Colwood, Langford, Highlands, View Royal, and Metchosin) since 1978. In 2008, our services expanded to include the communities of Sooke and surrounding areas including Jordan River and Port Renfrew. We are also pleased to provide Indigenous outreach services to the First Nations Communities of Beecher Bay, T’Souke, and Pacheedaht. Our non-profit organization is funded through both federal and provincial government initiatives. About The Position:
The WorkBC Operations Supervisor works closely with both the WorkBC Contract Manager and the Quality Assurance Supervisor, playing a crucial role in overseeing and supporting the WorkBC Team, aiding in job development, coaching, and training to facilitate the seamless client experience and support the service delivery team in all areas of workplace operations and service deliverables. The operations supervisor is the “Internal Subject Matter Expert” on external funding body policy and systems process as it relates to each program delivery model. Providing oversight, risk management, and quality control, monitoring the day-to-day operations and service delivery of WorkBC.
Key duties for this position include:
- Facilitate regular team meetings to ensure timely communication related to service delivery, organizational updates, and training initiatives.
- Coordinate and oversee administrative processes in both locations including client registration and intake, client sustainment monitoring and recording.
- Coordinate administrative support for WorkBC services as needed by service delivery specialists and case managers.
- Ensure annual team evaluations are completed to ensure the capacity of staff to perform all contracted services.
- Ensure data entry of all supports are entered by month end and work with the Quality Assurance Supervisor to ensure Milestone Fees and Sustainment Outcome Fees are fully realized.
- Identify and address staffing changes to support the service needs of clients.
- Provide Administrative support for WorkBC programs and client experience through the organization.
- Provide timely/regular performance management/coaching reports.
- Responsible for the direct supervision and scheduling of the WorkBC team members
- Support service delivery staff on data entry and document flow to optimize data quality
- Work with the QA Supervisor to ensure the Operations Items from Quality Management Plan (client file management and documentation practices) are being reviewed as committed.
- Work with the QA Supervisor to respond to any input from the Ministry around Operations items that are brought forward in their reviews (e.g. ICM and OES usage and Employment verification).
Knowledge, Skills, and Abilities
- Ability to assess situations to determine the importance, urgency, and risks, and make clear decisions that are timely and in the best interests of the client and organization.
- Ability to establish and maintain positive working relationships with others both internally and externally.
- Ability to establish and maintain relationships with staff using coaching techniques and active listening skills; uphold and maintain confidentiality.
- Comprehensive knowledge of WorkBC Contract and policy requirements
- Demonstrated ability to take initiative and problem-solve effectively
- Demonstrated ability to work cooperatively and effectively with others to share best practices that enhance organizational effectiveness
- Demonstrated Technical Skills: Use of complex databases, preferably ICM; Data analysis and reporting, Computer software – Microsoft Office
- Excellent computer skills: MS Office and database entry
- Exemplary organizational skills and ability to set priorities in a fast-paced work environment.
- Proficient communication and customer service skills.
- Sound current knowledge of employment services, job search strategies, and techniques
- Strong job task planning and organization
- Superior written and verbal communication as well as interpersonal skills
Qualifications:
- A minimum of (5) years of direct management experience
- A minimum of two (2) years of experience working with vulnerable populations
- Current Vulnerable Sector Criminal Record Check; and valid BC Driver’s license
- Preference will be given to persons with a master’s degree in business administration, Social Work degree, or related degree and supervision experience in Employment Services
- Strong administrative skills in Microsoft Office products, including Excel, Word, and Outlook
- Thorough knowledge of WorkBC employment services, including knowledge of the Ministry database (ICM).
