Project Administrator / Document Controller
Delve Underground is looking for a Project Administrator / Document Controller to support our dynamic team of engineers and construction managers on high profile infrastructure projects. The successful candidate will be based in the downtown Vancouver office or project sites in the Lower Mainland. Part-time telecommuting may be possible.
This position will play a central role in keeping project operations/activities organized, on track, and moving forward. This person will work closely with project managers on administrative duties, document control, and quality control.
This position requires exceptional communication and organizational skills, the ability to manage multiple tasks efficiently, and the ability to work productively in a fast-paced, team-oriented environment.
Responsibilities
- Maintain a document management system to register, organize, maintain, issue, and distribute the project documentation, submittals, and records on local construction projects with budgets exceeding $100 M
- Maintain the project document numbering / naming system and document templates
- Ensure that documents are authorized, issued, and distributed correctly
- Provide a single coordination point for the management of project documents and records amongst the construction management team.
- Lead safety reporting
- Support monthly invoicing and reporting
- Collaborate with engineers, construction managers and other CM staff
- Support Project Managers (PM) in managing scope, budget, schedule, and contract requirements
- Assist PM in project closeout tasks, lessons learned evaluation, and final reporting.
Qualifications
- 3-4+ years' document management experience using a document management system
- Strong written and verbal English communication skills
- Proficient in Microsoft Office
- Experience with document management systems (SharePoint, ViewPoint, Aconex, Project Sight, Procore, etc.) is desirable
- Familiar with standard quality management practices
- Confident operating in a client-facing role, with the ability to collaborate with a wide range of stakeholders
- Able to demonstrate a high level of professionalism, independence, interpersonal skills, and flexibility in the performance of duties.
